Job Title: Site Administrator
We are seeking a high-calibre Site Administrator to join our team in Galway. This is a 2-year fixed-term contract (FTC).
Key Responsibilities:
The candidate will typically undertake and assist with the following duties:
BCAR
* Liaise with sub-contractors to ensure timely and accurate submission of ancillary certificates for BCAR submissions.
* File ancillary and commissioning certificates onto the Document Management System (Zutec) to ensure HomeBond sign-off.
Zutec
* Obtain, organise, and maintain subcontractor construction documents on Zutec.
* Be the first point of contact for Zutec-related queries from the site team and subcontractors.
* Train subcontractors and the site team on the use of Zutec.
* Manage user access and permissions for Zutec.
* Ensure timely uploading of construction documents by subcontractors.
* Escalate system issues to the DMS Admin Team.
* Create and maintain dashboards for subcontractor uploads to assist with BCAR documentation and progress reporting.
* Maintain weekly RTS/RTO dashboards on Dynamics 365.
Site Team
* Document meeting minutes and follow-up actions.
* Provide administrative support to the site team as necessary.
* Complete subcontractor site inductions and face recognition in the absence of Health and Safety personnel.
* Liaise with Utilities Coordinator for timely and accurate handover of units to purchasers.
* Order office inventory as needed.
Candidate – Key Requirements:
* Minimum 2-3 years of administrative experience.
* Understanding of the construction industry (preferred but not required).
* Proficient in all Microsoft Office applications (Word, Excel, PowerPoint).
* Strong IT skills.
* Ability to multi-task in a fast-paced environment.
* Stakeholder relationship-building skills.
* High attention to detail.
* Self-motivated team player with initiative.
* Customer-focused with a positive attitude.
* Ability to meet deadlines.
