Job Title: Administrative Support Officer

We are seeking a highly organized and skilled Administrative Support Officer to join our team. The successful candidate will be responsible for providing administrative support to our staff, ensuring the smooth operation of our office.

The ideal candidate will have excellent communication and interpersonal skills, with the ability to work effectively in a fast-paced environment. They will also have high-level proficiency in Microsoft Excel, including formulas, pivot tables, graphs, and charts.

Key Responsibilities:

* Liaise with external training providers to schedule and manage training programs.
* Coordinate with staff and line managers regarding attendance, feedback, and evaluation.
* Maintain training records and assist in the development of training calendars.
* Serve as a point of contact for staff and line managers regarding HR-related queries, particularly around training and development.
* Provide regular updates and reports to senior management as required.
* Handle telephone and email enquiries professionally and efficiently.
* Maintain accurate data using Microsoft Excel and other systems.
* Produce reports, graphs, and presentations for internal meetings, audits, and reviews.
* Track staff training compliance and generate status reports.
* Perform general administrative duties, including document preparation, filing, minute-taking, and data entry.
* Support HR colleagues in recruitment, onboarding, and other functions as needed.
* Maintain confidentiality in dealing with employee information and sensitive documentation.

Essential Skills:

* Excellent communication and interpersonal skills (verbal and written).
* High level of proficiency in Microsoft Excel, including formulas, pivot tables, graphs, and charts.
* Experience in preparing presentations and data reports for various stakeholders.
* Able to handle multiple tasks, prioritize effectively, and meet deadlines.
* Strong attention to detail and accuracy.
* Professional telephone manner and customer service orientation.
* A team player with a flexible and proactive approach.

Please note:

* This is a temporary contract for 3 months.
* The working hours are 35 hours per week, from Monday to Friday, 9am to 5pm.
