Working hours to be agreed with the employer. Occasional flexibility may be required to meet reporting or meeting commitments. Location: Diocesan Offices, Galway City Reports to the Bishop or his delegate. Attendance at scheduled meetings and presentation of an annual report is required. The role requires strong organisational, administrative, and communication skills, with the ability to manage sensitive information and liaise with multiple stakeholders. The successful candidate will be comfortable working in a faith-based environment and committed to supporting safeguarding practice. Overall Purpose To administer the Garda Vetting process on behalf of the Western Province, ensuring compliance with safeguarding requirements and national vetting legislation, while supporting a safe environment for children and vulnerable adults. The postholder is employed by the Dioceses of Galway, Kilmacduagh and Kilfenora, and Clonfert. Duties Central point of contact: Acting as the primary contact for Garda Vetting applications within the Western Province. Application processing: Managing all vetting applications accurately and promptly in accordance with the National Vetting Bureau (Children and Vulnerable Persons) Acts 20122016. Records management: Maintaining secure, confidential records of applications, correspondence, and vetting outcomes. Stakeholder liaison: Working with parishes, diocesan safeguarding representatives, schools, and other Church bodies to provide guidance and support on vetting procedures. Query handling: Responding to queries from applicants, clergy, staff, and volunteers, providing clear and accurate information. GDPR compliance: Ensuring all personal data is handled, stored, and communicated in line with GDPR requirements. Reporting: Assisting with the preparation of reports and statistics for the Bishops, including an annual report and regular meetings with the designated line manager. Policy implementation: Maintaining up-to-date knowledge of national vetting policies and procedures and implementing required changes. Safeguarding culture: Supporting the dioceses in promoting a culture of safeguarding and safe practice across all ministries. Person Specification Proven administrative experience, ideally in a role requiring confidentiality and compliance. Strong organisational skills with excellent attention to detail. Ability to manage sensitive information with discretion and professionalism. Proficiency in Microsoft Office and database systems. Effective communication and interpersonal skills.
