My job To Provide a strategic, proactive, effective and professional HR service to the site and all it's internal customers. Ensuring the site adheres to Group driven Policies, procedures and statutory legislation whilst developing and maintaining good employee relations. Proactively deliver and embed all aspects of Group driven initiatives including employee reward, performance, development, DE&I and what we bring to the table. Key Responsibilities/Measures of Success Manpower planning Working with the Site Director and the site Leadership team implement the Group People strategy, cascading to all levels and support with the delivery of the people initiatives. Working with the Site Director and Site Leadership team create and maintain the people Establishment (manpower plan) ensuring there is a clear understanding of the roles, skills and knowledge required for the site to produce and deliver against the operational demand and in budget. Working with the Site Director and Site Leadership team to understand the short-term gaps and any longer-term plans escalating to the Talent Manager and Recruiter who will implement campaigns to close. Actively build relationship with Agency to ensure they have a clear understanding of the labour requirement and the peaks enabling forward planning and proactive supply. Review people reports pulled from resource link to ensure the post-to-post Linkage accurately reflects the people establishment. Proactively working with the Site Director and Site Leadership team on change management, organizational design activity, sharing initiatives to drive efficiencies, reduce cost whilst ensuring the site is a employer of choice and appropriate succession planning to meet the future needs of the business. Responsible for ensuring changes are submitted to payroll and terms and conditions of employment and system information is updated and sox compliant. (not internal recruitment) Responsible for site wide attraction challenges and working in collaboration with the Talent team / recruiter / SLT to understand the issues and support with closing the gap Onboarding Responsible for ensuring all candidates are onboarded to a first-class standard. HR operations & training for compliance and welcome Responsible for ensuring right to work checks have taken place and welcome pack issued. HR Operations and training Employee Relations Support Site Director and Site Leadership team with Complex ER matters including disciplinary, grievance and capability, including supporting on any investigations. Escalating to the Head of HR and Legal as required. Proactively review absence management activity and support where necessary to ensure site absence is within KPI standard. Responsible for Ensuring adherence to Company policies and procedures. Proactively liaise with the Occupational Health provision, ensuring all OH Matters are being managed and resolved. Advise ER & Projects Business Partner of any concerns with service. Responsible for discussion with SLT to understand and support with site wide ER trends Engagement & Wellbeing Ensure the site proactively deliver the Company employee reward recognition and STARS program. Think of a different way to manage stars in principle local instant monthly onward us - system Proactively lead on the development and delivery of activities that promote opportunities to raise funds for local and group Charity. Proactively Lead on the delivery of local community projects and actively drive participation of site management team and employees improving brand awareness through volunteering. Proactively Lead on the engagement of local schools and colleges, building partnerships to increase brand awareness, building our talent pool Proactively lead on initiatives actively influencing Leadership team engagement and the delivery of the DE&I roadmap and Welcome and Exit activity. Proactively build and embed communication channels with Union, Peoples Forum and ensuring Site Leadership participating to develop and maintain good employee relations. Proactively and enthusiastically promote What We Bring to The Table initiatives including, employee Assistance program, stronger together, Grocery Aid, and ensure site provides company initiatives including mini mots and fruity Friday's. Lead on complex OH matters ensuring the employees and Line Managers are fully supported and the delivery on site not impacted. Proactively Drive DE&I, attracting a DE&I Ambassador to work collaboratively with promoting the DE&I Road Map and calendar activities, encouraging the Leadership team and employee participation. Responsible for ensuring site announcements and site activities are escalated to the Corporate Communications team driving company knowledge and brand awareness. Lead on proactively driving a teamwork culture at the site in line with the Company Values and ensure HR function is respected by all. Learning and development Responsible for ensuring the site has a development Plan and cost-effective solutions are utilised to the full extent including the Levy as the first step, PSSL, Pilgrims university. Lead on 360 implementation and support and coach on participation and support Site Director with 9box grid. Lead on ensure all Site Leadership PDR's and reviews are conducted. Support and coach as required to facilitate completion.. Coach & mentor individuals with development needs Support L&D Manager / Coordinator / HR Advisor with ensuring all Salaried employees conduct PDR's and reviews Support L&D lead / Coordinator / HR Advisor to ensure the site is participating, with movement to work, work experience, apprenticeships, trainees and engage and influencing site Management team to participate. Support L&D Manager / Coordinator / HR Advisor with ensuring values training is rolled out and embedded. Systems Ensure your site data is being review data on a monthly basis to ensure that the hierarchy and post to post linkage is accurate. (Including emails, Line managers, cost centers, departments etc.) Ensure payroll information is inputted within the set deadlines for both weekly and monthly paid employees. Ensure Open Options is being maintained correctly and employee information is accurate aligned to post to post hierarchy and labour tool structure. Ensure all personnel records on all systems are accurate and available for reporting and auditing purposes. Audit Lead on customer and ethical audits. Ensure 3rd party supplier audits are carried out using company approved audit documents ensuring they are legally and ethically compliant and available on request. Ensure HR and L&D documentation is compliant, and your function and site is fully prepared to successfully participate and engage in any audit process. Align processes to that of the Pillar Book. Take part in two audits and proactively influence site compliance to increase score or maintain KPI scores. KPI Ensure essential management information / KPI's is available for site in a timely and accurate manner. Identify areas of improvement and agree appropriate action plans. Ensure short / long term absence, turnover and stability is being monitored and use this information to escalate challenges and opportunities and recommend solution to improve Ensure PDP stats are produced and work with the Leadership team to close the gaps in compliance. Ensure what We Bring to The Table stats are produced and highlight initiative compliance, lead on driving interest and support customer standards. Ensure the monthly site KPI report is produced and submitted, highlighting KPI compliance [RAG] and trends including commentary on recommendations for improvement. Ensure community and Early career plans are in place and are regularly reviewed to meet KPI General Carry out other duties that may reasonably be required as requested by Site Director or Head of HR Participate in HR project work offering feedback to make improvements. Attend HR meetings, Conference, Development Activity, other meetings, travelling in the role to other sites as required.
