Dublin A well-established, consultant-led medical practice is seeking an experienced Medical Secretary to provide comprehensive, confidential administrative support within a busy clinical environment.
This is a full-time, permanent position offering an opportunity to join a modern, patient-focused practice supported by a multidisciplinary team of medical, nursing, and administrative professionals.
The Role The Medical Secretary will play a central role in the day-to-day running of the practice, with responsibility for clinic preparation, patient communication, scheduling, and administrative coordination.
The position is 39 hours per week, with start times varying in line with clinic requirements.
Key Responsibilities Managing and coordinating clinic schedules, including patient communication, appointment booking, liaison with referring clinicians, and preparation for daily clinics Scheduling and coordinating surgical procedures, including liaison with external hospitals and maintaining inpatient records Administration and coordination of clinical correspondence, including liaison with an external dictation service, editing and proofreading dictated letters and reports, and preparing ad hoc correspondence as required Managing insurance billing and invoicing on a daily basis (training provided) Maintaining accurate electronic and manual patient records and filing systems Managing incoming telephone calls as part of a team, ensuring calls are logged and addressed in a timely and professional manner Proofreading clinical correspondence with accuracy and correct medical terminology Person Specification Previous experience in a busy administrative or secretarial role is essential, with proven ability to manage complex diaries Strong organisational skills with the ability to multi-task and work effectively under pressure Patient-focused approach with excellent interpersonal and communication skills Professional telephone manner and a high level of discretion and empathy Excellent written and verbal English, including spelling and grammar Proficiency in MS Office applications; ECDL certification is an advantage Experience with medical billing (e.g.
