The successful person will work as part of the Ibec Academy to assist a dynamic team to deliver high-quality training services to organisations. The Ibec Academy have been providing training for over 30 years in the area of people management, HR, leadership, coaching, mediation, employment law, industrial relations, occupational health and safety, project management and organisational change. The candidate will work mainly in our open training programme area. The ideal candidate will be flexible in their approach, adaptable, a strong multitasker and enjoy working in a fast-paced environment. The candidate should be proactive and demonstrate strong initiative. Main responsibilities include: Manage all administrative details of online and classroom based trainingManage and assign customised inbound leads sales team Assist the sales team with customised proposals and tendersJunior key account management of client relationships in the customised training area Manage training coordination including: room and calendar scheduling, participant registration and feedback surveysRelationship management with client companies and studentsLiaise with companies and trainers to organise training dates Relationship management with Technological University Dublin with regards to accredited training coursesResponsible for all administration processes required for accredited training certificates Manage TMS and LMS system, ensuring all information is complete and accurateTrack bookings to ensure numbers are on track. Relay this information to the wider team at weekly meetingsWork closely with the finance team and track Ibec Academy financesReview quality of training material Ensure quality standards are upheld Other duties include: Assist with ad-hoc projects across the departmentDealing with queries on all aspects of training administrationManage bookingsInvoicing, purchases and debt collectionPreparing costings on programmes and planning expenditure v's income for eventsRespond to requests for documentation and web based informationTake bookings/calls related to events/training – setting up presenters/venues Deal with internal information requestsIssue communications/segments to members as requiredWebsite maintenance – ensure overall website quality and content is maintained throughout the year.Support publications production; quality proofing and coordination for the production Ensuring all databases are accurate and up to date Formatting documents, word and PowerPoint, scanning, typing and filing supportPreparation of documents, reports and submissionsDiary management; travel arrangementsSupport promotional campaigns Co-ordinates meeting arrangements; minutes and agendasManage bookings and promotion.NOTE: This list is not exhaustive but serves to reflect the nature of the duties included in the role.
