We are looking for a Junior Document Controller to join GagaMuller. The Opportunity
GagaMuller is supporting the delivery of major construction, data centre, and infrastructure projects across Ireland and Europe. The Junior Document Controller will assist project teams in managing documentation, information workflows, and digital project records. This is an excellent entry-level opportunity for a recent graduate looking to build a career in information management and digital project delivery within a fast-growing Project Management Consultancy.
Responsibilities
Scope & Delivery Management
Support the administration and maintenance of Common Data Environment (CDE) document management systems.
Assist with uploading, distributing, and tracking project documentation in accordance with project procedures.
Support configuration and maintenance of SharePoint and project information management platforms.
Assist with the administration of Construction Submittal Register (CSR) processes under guidance.
Maintain organised and up-to-date document registers throughout the project lifecycle.
Stakeholder Coordination
Liaise with project stakeholders to support document submissions, reviews, and information approval workflows.
Support communication of project information lifecycle requirements and review procedures to project teams.
Assist with preparation and distribution of project information across multidisciplinary project teams.
Support coordination of training on CDE platforms and document control procedures.
Promote effective communication and collaboration across project teams.
Risk & Compliance Management
Support implementation of project naming conventions and document control standards.
Assist with compliance checks against project information management procedures and ISO 19650 standards.
Monitor document workflows to support timely processing and approval of project information.
Escalate document management issues or risks to the senior Document Controller as required.Support accurate version control, document tracking, and audit trail management across project systems.
Reporting & Documentation
Maintain and update document registers, trackers, and project reporting dashboards.
Assist with reporting activities relating to document management and information control.
Support the generation of project reports on information management and document control activities.
Assist with preparation of handover documentation and digital project records.
Ensure project records are maintained in accordance with project procedures and client requirements.
Collaboration & Integration
Work collaboratively with project controls, design, construction, and commissioning teams.
Support integration of digital workflows and information management processes across project activities.
Contribute to continuous improvement of document control and digital delivery processes.
Promote a proactive and solutions-focused approach to project information management.
Support the senior Document Controller in day-to-day project delivery activities.
Working Arrangements
Work Location: Office and remote working from Dublin, Ireland. Occasional travel to project sites / client offices may be required.
Employment Basis: Permanent, full-time position.
Travel: Travel support provided in accordance with company policy where applicable.
Qualifications
Degree or relevant qualification in Construction Management, Engineering, Information Management, Business Administration, or related discipline.
Strong verbal, written, and organisational skills.
Proficiency in Microsoft Office Suite, including SharePoint and Teams.
Familiarity with document management principles and digital information workflows.
Understanding of BIM standards and ISO 19650 principles is advantageous.
What Experience We Are Looking For
0–1 years of experience in document control, construction administration, or related field; recent graduates are encouraged to apply.
Exposure to document management processes in a construction, infrastructure, or professional services environment is advantageous.
Familiarity with SharePoint or similar document management or project information platforms.
Strong organisational skills with the ability to manage multiple tasks in a fast‑paced project environment.
