Our client is a respected not-for-profit organisation dedicated to supporting and empowering people through high-quality services and community engagement. This is a temp to perm, part-time Office Administrator position plays a vital role in supporting organisational effectiveness and ensuring the smooth running of the Belfast head office. Working within the HR & Administration team and reporting to the Senior HR Officer, the post holder will coordinate administrative operations, support governance processes, and help maintain a safe and welcoming office environment.Key ResponsibilitiesMaintain a welcoming reception and office environment for young people, visitors, and professionalsManage telephone, reception, and general enquiriesProcess incoming mail and maintain accurate recordsProvide administrative support to the Senior Management TeamPrepare and distribute organisational documents and informationCoordinate meetings, diaries, and room bookingsOrganise conferences, training sessions, and prepare delegate materialsOrder office supplies and complete general administrative dutiesAssist with marketing and promotional activitiesEnsure the office environment remains safe, comfortable, and fit for purposeSupport Health & Safety compliance and complete weekly safety checksArrange maintenance, repairs, and facilities managementOrganise and facilitate bi-annual office meetingsProvide administrative support to the Board of Directors and Company SecretaryPrepare agendas, meeting papers, and take minutesSupport compliance with Companies House and Charity Commission requirementsMaintain governance documentation and policiesAssist Board committees and track actionsFacilitate communication between Board, SMT, and stakeholdersParticipate in supervision and team meetingsMaintain and update learning and development plansSupport service delivery and organisational development as requiredThe PersonEssential CriteriaProven administrative experience in a busy office environmentExcellent organisational skills with the ability to prioritise workloadHigh attention to detail and accuracyStrong communication and interpersonal skillsProficient in ICT systems and Microsoft OfficeAbility to maintain accurate records and manage confidential informationAbility to work independently and as part of a teamUnderstanding of health & safety and GDPR responsibilitiesProfessional manner and ability to engage with a wide range of stakeholders Package & BenefitsHours: 28 hours per week (Monday, Tuesday, Thursday, Friday)Location: BelfastPension: 4% employer contributionAnnual Leave: 36 days pro rata (increasing with service up to 41 days pro rataTo apply for this role, submit your CV via the application form provided.
