Office Administrator — Navan, Co. Meath.

We are looking for an Office Administrator to join our busy office environment in our Industrial office located in Navan, Co. Meath. We are seeking a detail-oriented team player who will be the first point of contact for visitors at the office, greeting them in a polite and well-spoken manner.


Responsibilities

* Receptionist duties — meeting and greeting visitors and staff, managing phone switch, presentation of reception and waiting areas, and coordinating meeting rooms. Respond to queries from new hires.
* Sort and distribute mail; organise courier services.
* Catering management — organise catering requirements for meetings.
* Office management — manage kitchen, toilets and service areas to meet tidiness, cleanliness and service standards. Liaise with cleaning services and main service providers (e.g., intruder and fire alarms).
* Manage stock inventory of stationery and generate purchase orders for all purchases.
* Provide general clerical and admin support to the Line Manager and ad hoc office requests (copying, notes, travel plans).
* Liaise with IT and Plant department for drop-off and collection of equipment.
* Support procurement activities with Purchase Requisition creation when required.
* Other duties as required from time to time.
* Travel management — manage travel bookings for staff (hotels, flights, car hire) and manage invoicing and payments.
* Support the Senior Leadership Team with travel bookings and administration requirements.
* Prepare and book meeting rooms.
* Innovation — proactively look for improvements and propose new processes for running the office.


Knowledge, Skills and Experience

* Strong communication and customer service skills.
* Fluency with Microsoft Office products (Word, PowerPoint, Excel, Access).
* Strong organisation, professionalism and people skills.
* Ability to multi-task, meet deadlines and stay organised.
* Good knowledge of travel bookings and management.
* Strong work ethic and ownership of responsibilities.
