Position Overview
This role is responsible for supporting the Sales Department in their day to day activities by providing administrative and organisational assistance to the Sales Team as well as identifying and supporting market opportunities which contribute towards the Company’s growth strategy.
Key Responsibilities/Tasks
* Provide administrative support to the Sales Department.
* Liaise with the Sales Team to ensure the Paint Slot Schedule availability sheet is up to date.
* Create Project Folders for all contracted work.
* Ensure Production Teams are fully aware of all customer specific detail relating to all IAC facilities.
* Book and communicate any maintenance support events to support ongoing and new contracts/projects relating to all IAC facilities.
* Ensure Interiors Slot Schedule, Invoicing Sheet and CRM are up to date.
* Coordinate Interiors project requirements with customers, the interiors workshop (production) and the Materials department; ensuring all required documentation is received from customers and follow up as required.
* Coordinate Graphics project requirements with customers, ensuring all required documentation is received from customers and follow up as required.
* Keep customers up to date on project status and communicate with customers in a timely manner.
* Support the development of identified sales opportunities in conjunction with the Sales Team.
* Manage the Sales CRM (Customer Relationship Management) tool to ensure accurate recording of leads, enquiries and sales.
* Assist the Sales Team in developing accurate forecasts for presentation at quarterly meetings.
* Support coordination and organization of Trade Shows.
* Help to identify and progress PR opportunities based on IAC activities in the market.
* Support with digital media (social/website) and external communication.
* Attend customer meetings/industry events as required to support the sales team activities.
* Support with internal newsletter.
* Update content for weekly operations meeting.
* Ensure the Airline Representative offices are up to date with current IAC Marketing Materials.
* Arrange travel and accommodation requirements for IAC customer representatives and IAC personnel as required.
* Arrange invitation letters and coordinate visa requirements for IAC customer representative visits and for IAC personnel as required.
* Develop and maintain good business relationships with both internal and external customers.
* Provide cover for Sales Support Coordinator as required.
* Any other reasonable tasks as required by the Sales Director.
* Proven track record of working in a dynamic environment.
* Strong organizational, analytical and time management skills.
* Ability to prioritize and multi-task.
* Highly motivated with proven ability to drive projects to a successful and timely conclusion.
* Ability to work independently for extended periods without direct supervision.
* Ability to work cross functionally and effectively within a team environment.
* Demonstrated ability to be flexible to meet Company and Customer needs.
* Proven professional, customer focused approach.
* Strong interpersonal skills with experience of dealing with Customers and Senior Executives in an organization.
* Excellent communication skills, both written and verbal English.
* Familiarity or knowledge of the Aerospace Market would be an advantage.
Requirements
* 3+ years’ experience in a dynamic sales administration role.
* Strong numerical skills and detailed knowledge of Microsoft Office, Project and CRM packages.
* Third level qualification in Marketing or Business Administration discipline.
