We are retained by a client to appoint a Document Controller / Senior Document Control Manager in Dublin.
Team Overview
The Document Control department ensures the efficient management, organisation, and distribution of all project-related documentation. This team maintains version control, tracks approvals, and ensures that the latest documents are readily accessible to all stakeholders across the project lifecycle. By upholding strict document management protocols, the department supports compliance, enhances collaboration, and helps maintain consistency and accuracy across all project communications.
Role Overview
The Document Control Manager role will manage a team of Document Controllers working across multiple projects, offices, regions and disciplines. They will be responsible for developing the team through refinement of the current processes and ensuring that the department grows and meets the demands of the relevant business unit.
What You’ll be Doing
Ensure document control team actions and tasks are set out clearly and closed out in agreed time scales.
Producing departments time management reports and distributing to senior management.
Lead and manage all areas of document control across all regional projects in line with company standards and CDE requirements.
Ensure all project deliverables are uploaded, reviewed, approved, and issued within agreed timeframes.
Develop and enhance regional document control processes while maintaining alignment with Head Office governance.
Manage and administer Viewpoint for Projects and Trimble Field View at a regional level.
Coordinate with Project Managers, Design, Commercial, Quality, and Site Teams to ensure information is controlled and issued correctly.
Recruit, manage, and develop the regional document control team.
Produce weekly and monthly reports for Senior Management to provide full transparency of regional performance.
Carry out regular audits to ensure best practice and compliance are maintained.
Act as Office Manager, providing administrative support to all teams and managing reception and cleaning staff.
Working with quality team to ensure document control team have all labels, forms, and field view processes in place. Also ensuring where relevant appropriate external quality documents are in place (i.e., Quality Management Plan).
Liaise with project teams to ensure they have a full understanding of document control protocols and system procedures and provide training as required.
Organising and Chairing meetings with Internal and external parties to ensure clear objectives are set, for project and businesses development.
Work to continuously improve and enhance procedures and systems utilised for document control. Liaising with other departments to ensure company document control procedures are being maintained within their department.
Liaising with the other regional document control departments to ensure that there is a consistent standard for the department.
What You Need to Have
Essential
Proven experience in Document Control within the construction industry (M&E background preferred).
Strong knowledge of CDEs and digital information management.
Experience using Viewpoint for Projects and/or Trimble Field View.
Excellent organisational, communication, and leadership skills.
Experience managing teams and supporting a growing office or region.
What You Would Ideally Have
Knowledge of ISO 9001 or similar quality management systems.
Experience in a regional or multi-project construction environment.
