Role Overview The Platform Builder is responsible for designing, configuring, and sustaining the companies environment as the Single Source of Truth (SSOT) for delivery.
This role translates agreed process designs, workflow logic, data structures, and governance standards into a coherent, scalable setup using boards, groups, columns, automations, permissions, dashboards, and documentation.
The Platform Builder does not define business process or programme scope but works closely with process owners and programme leadership to ensure that what is built in accurately reflects agreed ways of working and can scale as the company grows.
Purpose of the Role The Platform Builder exists to: Turn agreed delivery processes into well-structured boards and workflows Ensure consistent use of columns, statuses, automations, and permissions Maintain the integrity of the workspace as complexity increases Enable reliable reporting and visibility through structured data Support the transition from proof-of-concept builds into scalable implementation This role ensures that reflects how we intend to operate, not ad-hoc workarounds.
Key Responsibilities 3.1 Platform Configuration and Build Unified Delivery Programme | Project Document 1 Design and configure boards, groups, items, subitems, and templates Implement workflow stages using Status, Dropdown, People, Date, Dependency, and Formula columns Configure automations for status changes, handovers, notifications, approvals, and lifecycle transitions Set up permissions, board ownership, and access controls in line with governance standards Structure workspaces to support multi-function delivery without duplication 3.2 Workflow and Data Integrity Ensure builds align with agreed process architecture and data models Enforce consistent naming conventions, column usage, and board structures Prevent duplication of boards, columns, or logic across teams Maintain clarity between source-of-truth boards and supporting or reporting views 3.3 Proof of Concept and Iteration Build and refine proof-of-concept workflows in to validate feasibility Test automations, dependencies, and status logic against real delivery scenarios Incorporate feedback from design reviews and oversight sessions Identify limitations, constraints, and risks early and clearly 3.4 Collaboration and Oversight Work closely with: ? Process owners ? Programme management ? External advisors Participate in regular design reviews and build walkthroughs Clearly surface blockers, design gaps, or technical constraints in Avoid improvising solutions outside agreed design and governance 3.5 Platform Sustainability Maintain clear documentation of boards, templates, automations, and standards Support transition from POC builds into scalable, reusable templates Contribute to continuous improvement of the environment Ensure the platform remains understandable and maintainable for others Unified Delivery Programme | Project Document 2 What the Role Is Not To avoid ambiguity, the Platform Builder: Does not define business processes or delivery strategy Does not act as programme manager or delivery owner Does not independently set scope, priorities, or governance rules Does not redesign workflows without agreement Does not act as a general IT administrator The role is focused on high-quality execution within, not decision-making.
Required Skills and Experience 5.1 Platform Expertise (Required) Hands-on experience building and maintaining environments Strong understanding of: ? Board architecture and hierarchy ? Column types and best practices ? Automations and dependencies ? Organisations moving away from spreadsheets Experience working alongside process or transformation consultants Success Measures The Platform Builder will be successful if: workflows accurately reflect agreed processes Proof-of-concept builds validate design direction Boards and templates are understandable and reusable Data is reliable enough to support reporting and decision-making Stakeholders trust as the delivery system of record Can continue building independently after Phase 1 Role Context and Reporting Works closely with companies programme leadership and process owners Day-to-day priorities guided by agreed plans and designs Collaborates with external advisors during Phase 1 Transitions to internal platform ownership post-Phase 1 Role Evolution Over time, the Platform Builder may: Take ownership of governance and standards Support rollout to additional functions or regions Contribute to advanced automations and reporting Act as an internal centre of excellence for Experience The successful candidate will typically have: 3–6 years' experience working with work-management platforms Unified Delivery Programme | Project Document 4 At least 2 years of hands-on experience using in a build or admin capacity Practical experience configuring: ? Boards, columns, automations, and permissions ? End-to-end delivery workflows Experience supporting operational or delivery teams through tooling Experience working within defined governance and programme structures Direct experience with is required.
