Job Title: Health and Safety Project Coordinator
About the Role:
We are seeking a highly skilled and experienced Health and Safety Project Coordinator to join our team. The successful candidate will be responsible for coordinating the implementation of our new Health and Safety Management System (HSMS) at our organization.
Main Responsibilities:
* Coordinate all aspects of the HSMS implementation, including planning, prioritization, and task management.
* Serve as the primary liaison between our organization's project team and the vendor, ensuring smooth communication and collaboration.
* Provide regular progress updates to the project team and stakeholders.
* Lead and manage User Acceptance Testing (UAT), including test script development, tester identification, and testing process oversight.
* Develop a cutover plan to support the transition to the new system and ensure readiness for go-live.
* Oversee the rollout of end-user training in coordination with the vendor.
* Support the project through go-live and remain involved until the conclusion of the hypercare period.
Requirements:
* Project Coordination Experience: Proven experience in coordinating projects or workstreams, ideally involving IT system or process implementations.
* Communication Skills: Strong written and verbal communication skills, with the ability to liaise effectively between internal stakeholders and external vendors.
* Organisational Skills: Demonstrated ability to plan, prioritize, and manage multiple tasks within defined timelines.
* Testing Coordination: Experience supporting or coordinating UAT, including preparing scripts, managing testers, and capturing outcomes.
* Training Support: Experience in organizing or delivering end-user training, briefings, or guidance materials.
* Problem-Solving: Ability to identify issues during implementation and escalate or resolve them appropriately.
* Stakeholder Engagement: Ability to work collaboratively with a wide range of stakeholders at all levels across the organization.
Desirable:
* Experience in the implementation of Health & Safety Management Systems or other compliance-related software.
* Previous experience in a similar role within a university or large, complex organization.
* Knowledge of project management approaches (e.g., PRINCE2, Agile).
* The ability to use MS Project to generate monitor progress and generate reports.
