To support our growing operations, we are seeking a versatile and experienced Senior Administrator who will work across several departments, offering critical administrative support and ensuring smooth day-to-day operations.
Key Responsibilities
Administrative Support Across Departments
* Provide efficient and organised administrative support to multiple teams, including finance, retail management, marketing, and customer service.
* Maintain accurate records, files, and documentation to ensure seamless departmental coordination.
* Assist with the preparation and tracking of budgets, schedules, and reports.
Retail Administration
* Work closely with retail managers to manage budgets, rotas, and operational schedules.
* Assist with planning and monitoring retail store requirements and performance.
* Provide administrative support for retail operations, including documentation and communication with store teams.
Financial Administration
* Process payroll and employee expense claims, ensuring compliance with policies and deadlines.
* Handle invoicing, accounts reconciliation, and other finance-related administrative tasks.
* Support budget preparation and financial reporting.
Customer Service Support
* Handle customer queries and complaints professionally using Zendesk or similar platforms.
* Coordinate with relevant teams to ensure customer issues are resolved promptly and efficiently.
* Provide input into improving customer service processes.
E-commerce Platform Support (Shopify Experience Desirable)
* Assist with product listings, stock updates, and promotional activities on Shopify.
* Collaborate with marketing and operations to ensure the e-commerce platform is up-to-date and aligned with business goals.
Required Skills & Experience
* Exceptional organisational and multitasking skills, with high attention to detail.
* Ability to work collaboratively across teams and manage competing priorities effectively.
* Strong communication skills, both written and verbal.
* A proactive and problem-solving mindset with the ability to adapt to dynamic business needs.
Preferred Qualifications
* Minimum 3-5 years in a senior administrative role within e-commerce, retail, or a similar fast-paced environment.
* Proven track record in financial administration, including payroll and budget management.
* Shopify experience is highly desirable but not essential.
* Customer service experience, including managing queries via multi-channel platforms.
* Familiarity with customer service platforms such as Zendesk.
* Advanced Microsoft Office Suite skills, particularly Excel, Word, and Outlook.
* Experience with payroll, expenses management, and invoicing systems.
