Job Description

the Executive Assistant will coordinate proeject executive duties and provide general administrative support to the Team working on the major Rail project.

The role includes the following duties:

* Building and maintaining strong relationships with key stakeholders
* Manage professional and personal scheduling for the Directors including agendas, mails, emails, phone calls, client management and other logistics
* Coordinate complex scheduling and calendar management, as well as content and flow of information to senior executives
* Plan and orchestrate work to ensure that senior executives priorities are met
* Preparation of presentations and reports
* Organising meetings and workshops
* Screening and prioritisation of emails of Project Director
* Meeting and greeting visitors at all levels of seniority
* Handling enquiries and requests
* Preparing of letters
* Screening telephone calls
* Taking messages and following up
* Assisting with travel arrangements
* Implementing and maintaining procedures and administrative systems
* Printing, copying and filing
* Setting up of purchase orders
* Liaising with staff from other departments
* Other duties and responsibilities appropriate to the position

Qualifications

Skills and Qualifications:

* Knowledge and awareness of the importance of being a representative for the major Rail proejct
* Excellent verbal and written communication skills
* Skill in preparation and compilation of reports
* Skill in preparation and compilation of presentations
* Experience of working in a role where discretion and confidentiality are essential
* Experience of working with diverse teams
* Ability to work on own initiative, with multitasking capabilities
* Ability to work to tight deadlines and prioritise tasks effectively
* Strong interpersonal skills - ability to motivate others
* Experience of undertaking and effectively managing a significant workload
* Advanced Microsoft Office and SharePoint knowledge and experience
