The Theatre & Anaesthesia Team Lead will play a pivotal role in supporting the Cúram Electronic Health Record (EHR) implementation across UPMC Ireland. You will report to the EHR Clinical Stream Lead. This role leads the implementation of key inpatient clinical applications, including the Theatre, Theatre Materials Management and the anaesthesia solution (to be confirmed) capabilities. The Theatre & Anaesthesia Systems Team Lead acts as the application champion at the group level and ensures alignment of system functionality with surgeons, anaesthetists, theatre, recovery and ancillary staff and their clinical workflow requirements. This role provides strategic and tactical leadership for the Theatre & Anaesthesia workstream, ensuring alignment with clinical operations, financial systems and overall programme goals. The role acts as a subject matter expert (SME) in Theatre & Anaesthesia functions to support a smooth, efficient and sustainable transformation of Theatre & Anaesthesia operations and related processes.

Responsibilities

1. Deliver the new Theatre & Anaesthesia workstream within UPMC Ireland within the project scope and governance, including identifying stream stakeholders.
2. Establish the project team, allocate responsibilities and collaborate with other clinical workstream leads.
3. Manage end-user experience, provider-facing modules, milestone tracking, and report workstream status, risks and benefits. Lead decisions to resolve issues impacting the workstream with the Clinical Stream Lead.


Team Leadership & Stakeholder Engagement

* Serve as the primary liaison to clinicians and staff to ensure system design meets clinical documentation and workflow needs.
* Lead Theatre & Anaesthesia engagement sessions, adoption planning and go-live readiness efforts.
* Recommend policy changes and process improvements related to Theatre & Anaesthesia to drive efficiencies and outcomes.
* Coordinate a cross-functional clinician/provider implementation team during the transition.
* Facilitate regular workgroup meetings, track milestones, document decisions and escalate risks.
* Act as liaison between Theatre & Anaesthesia and the EHR implementation team.
* Support training material development and education for Theatre & Anaesthesia staff and other end-users.
* Provide hands-on support during go-live and stabilisation, ensuring continuity of Theatre & Anaesthesia operations.
* Collaborate with the training team to ensure staff are trained on Theatre & Anaesthesia workflows within MEDITECH and related applications.
* Support planning and delivery of handover training for the future EHR business-as-usual team.
* Collaborate with Theatre & Anaesthesia governance to support ongoing optimization and training needs.


Workflow & System Design

* Collaborate with clinical and technical teams to support end-to-end clinical integrity across modules.
* Act as SME for clinician/provider functions in MEDITECH, including Theatre, Theatre Materials Management and the Anaesthesia capability (to be confirmed).
* Collaborate with MEDITECH analysts to design and validate Theatre & Anaesthesia workflows within MEDITECH Expanse.
* Review system functionality related to Theatre & Anaesthesia.
* Ensure operational workflows translate into clinical and financial processes.
* Support integration of clinical workflows with financial processes to ensure clinical/financial integrity and compliant workflows.


Implementation Support, Data Validation & Testing

* Oversee Theatre & Anaesthesia system configuration, data migration validation and integration with enterprise platforms where applicable.
* Lead testing activities for Theatre & Anaesthesia modules, including integrated testing and user acceptance testing (UAT).
* ID and troubleshoot issues with IT, finance and clinical teams.
* Ensure provider-facing modules integrate with other clinical systems to support care delivery and documentation.
* Validate statutory, management and operational reporting for Theatre & Anaesthesia functions.
* Champion change management among Theatre & Anaesthesia staff and address workflow impacts and documentation requirements.
* Facilitate standards development and engage clinical SMEs in design discussions.
* Support identification of appropriate hardware solutions for staff.


Documentation & Governance

* Maintain accurate project documentation, including current/future state maps, risk/issue logs, decision registers and benefits registers.
* Support governance processes by preparing materials for design forums and senior management meetings.
* Define and track KPIs for readiness, adoption and post-go-live performance.
* Document lessons learned and continuous improvement initiatives.
* Ensure compliance with statutory and regulatory requirements related to clinical safety and digital health.


Qualifications

* Registered Nurse (RN) with post-graduate perioperative qualification.
* Minimum 3 years perioperative experience in an acute care hospital or surgical center.
* Minimum 2 years of experience supporting or leading system implementations (preferably MEDITECH or similar ERP/EHR).
* Familiarity with Theatre & Anaesthesia workflows, clinical safety practices and quality reporting standards.
* Strong project coordination, stakeholder engagement and change management skills.
* Strong analytical thinking, problem-solving and interpersonal skills across clinical and operational teams.


Preferred

* Hands-on experience with MEDITECH Expanse (Surgical Services or OR module) or other major EHRs (Epic, Oracle Health).
* Experience with digital documentation tools, surgical case management systems, or electronic preference cards.
* Familiarity with perioperative standards and safety frameworks (e.g., WHO Surgical Safety Checklist, AORN, JCI standards).
* Knowledge of clinical decision support, change management methodologies (Prosci, ADKAR) and regulatory requirements.
