The Role / Location We wish to recruit an exceptional individual as a Team Administrator to support an established Campus Management Team based full time at the Irish Life Centre Campus, Dublin 1.
They must be proactive, capable of working as part of the team and on their own initiative, as well as providing administrative support to the onsite team.
The candidate will demonstrate an understanding of service standards and key deliverables in line with the agreed client contract.
They will proactively support and deliver an excellent building and estate service to the occupiers and site team and operate in a pro-active manner to anticipate occupier needs and demonstrate a 'can-do' attitude.
Key Responsibilities Answering telephone enquiries in a professional manner and taking accurate messagesDealing with email enquiriesRaising Works Orders on our Computer Aided Facilities Management (CAFM) system, SavFMOccasionally photocopying, scanning and printing documents for the teamCollation and binding of reports and other documents (e.g.
service charge packs etc)Assist with inputting/updating property information on our Property Management (PM) databaseDealing with Irish Life Campus invoicing at first approval levelAttend monthly management meetings - taking minutesTyping of letters, reports etcRunning mail merges from our databaseFiling - keeping all files tracked and updated on a regular basisCompleting monthly expensesReceiving and sorting post for the site management teamAssisting the team with arranging any campus eventsCollating building energy data and liaising with the office-based energy & sustainability teamLiaising with the site-based maintenance teamLiaising with tenants/contractors at the Irish Life Centre under the guidance of the site management teamAssist the team with any additional admin related duties as and when they ariseAssist the team with tracking maintenance tasks across the Campus Skills, Knowledge and Experience Goal orientated, flexible, extremely well organised and enjoy working within a challenging and busy work environmentExcellent IT skills in Microsoft Office, Excel and PowerPointKnowledge of Yardi, Salesforce and CAFM systems would be an advantageAbility to multitask and excellent attention to detailSolid database experienceExcellent organisational skills and an ability to prioritise are essentialBe fluent in verbal and written EnglishPresent well in a corporate environment and have proven customer/client relationship skillsHave excellent communication and interpersonal skills with the capability of building good relations with all tenants and staff across the Irish Life CampusGiven the sensitive information the successful person will be privy to, confidentiality and discretion is crucialSavills Ireland is an equal opportunity employer.
