Job SpecificationRole: Sales Administrator / Executive AssistantLocation: Dublin (Hybrid / Office-based depending on candidate)Reports To: Directors (Kyle McCarthy & Peter Reynolds)Role PurposeWe are seeking a proactive and highly organised individual to join Wayfinders as a Sales Administrator / Executive Assistant. This role combines administrative excellence with sales support, ensuring the smooth running of day-to-day operations while contributing to our business growth. You will play a key role in managing communications, coordinating schedules, and supporting the preparation of tenders and proposals.Key ResponsibilitiesAdministrative SupportManage and prioritise incoming emails and phone calls.Coordinate and maintain diaries for the Directors, including scheduling meetings and appointments.Prepare correspondence, reports, and documents as required.Maintain electronic and physical filing systems.Sales AdministrationAssist in the preparation of pricing tenders, proposals, and client submissions.Manage and update CRM/lead tracking systems, ensuring client information is accurate and current.Support follow-ups with clients, contractors, and partners.Produce supporting sales materials and presentations when needed.Client & Team SupportAct as first point of contact for client queries and partner communications.Support wider team members with administrative or project tasks.Ensure deadlines are tracked and met across ongoing projects.Candidate ProfileEssential Skills & ExperiencePrevious experience in a PA, EA, Sales Administrator, or similar role.Excellent organisational and multitasking skills with strong attention to detail.Confident communicator (written and verbal), comfortable liaising with clients.Proficiency with MS Office (Word, Excel, Outlook, PowerPoint) and/or Google Workspace.Ability to work independently, manage competing priorities, and show initiative.Desirable SkillsExperience in preparing tender submissions or sales proposals.Knowledge of CRM systems (e.g. HubSpot,, Salesforce).Familiarity with construction, design, or project-led industries.Package & BenefitsCompetitive salary (dependent on experience).Flexible working arrangements (hybrid model considered).Opportunity to grow into a more senior sales or business support role.Supportive and collaborative working environment within a growing business.Why Join Wayfinders?Wayfinders is a fast-growing signage and wayfinding consultancy, working with leading architects, contractors, and developers on high-profile projects across Ireland and the UK.
