Working as part of the site management team, this position is responsible for the Dispatch, Chilled & Frozen Storage area of the business. It involves managing and overseeing intake, storage, and dispatch operations for fresh, chilled, and frozen products, ensuring good management practices and the smooth, safe, and efficient flow of goods to both domestic and export markets.
Key Responsibilities:
1. Intake & Storage Management
* Oversee systems and procedures for intake of chilled and frozen products.
* Manage cold storage facilities such as blast freezers.
* Ensure optimal product handling and storage conditions to maintain quality.
* Plan and schedule activities.
1. Dispatch Operations
* Lead dispatch activities for fresh and frozen products to FMCG and retail customers.
* Develop and maintain systems and procedures ensuring timely and accurate order fulfillment.
2. Systems & Documentation
* Manage stock using SAP and Business Warehouse systems.
* Prepare and manage documentation for export and domestic consignments.
* Handle health certificates, including TRACES documentation and compliance.
3. Team Management
* Manage time and attendance for dispatch personnel via the time management system.
* Organize dispatch personnel's annual leave to prevent impact on plant performance.
* Manage team performance and training.
* Participate in recruitment and development of the dispatch team in collaboration with HR.
4. Compliance & Quality
* Maintain and enforce HACCP food safety systems across all operations.
* Ensure compliance with internal and external food safety, quality, and traceability standards.
5. Continuous Improvement
* Participate in daily PIT meetings and lean processes.
* Lead LEAN initiatives and contribute to continuous improvement projects.
* Implement process improvements to enhance efficiency, reduce costs, and improve performance.
6. Cost & KPI Management
* Control costs and achieve departmental KPIs.
* Monitor and manage loss prevention and stock discrepancies.
7. Customer Service
* Maintain high service standards and communication with key customers and stakeholders.
* Act as the point of contact for issues related to delivery, stock, and product condition.
8. Health & Safety
* Promote and enforce safe working practices in line with company policies.
9. Transport Coordination
* Liaise with intercompany transport teams to ensure efficient goods movement.
Applicants should have:
* 3-5 years' experience in dispatch, warehouse, or cold store management, preferably within FMCG or the food industry.
* Strong organizational skills, ability to handle pressure, and manage priorities.
* IT skills, including proficiency in Microsoft Excel and Word.
* Understanding of chilled and frozen supply chain operations.
* Proficiency in SAP and stock management systems.
* Experience with HACCP, LEAN, and safety frameworks.
* Excellent leadership, organizational, and communication skills.
* Knowledge of export documentation and regulatory compliance.
* Ability to motivate teams and drive improvements.
