Job Title: Global Office – Immigration and Accounts Administration Support Officer

Reporting To: Global Engagement Office Senior Administrative Officer

Location: Griffith College Dublin, South Circular Road

Job Type: Full-Time / Fixed-Term (7 months maternity cover)


About the Global Engagement Office

Griffith College’s Global Engagement Office, known informally as Griffith Global, plays a central role in all of the College’s internationalisation activities. The Global Office works with stakeholders across all faculties and sister campuses in Cork and Limerick to actively promote and encourage enhanced internationalisation activities.

Through Griffith Global, the College recruits international learners to study in Ireland, develops academic, research and collaborative partnerships with overseas higher education providers across the globe, provides pastoral care and welfare support to its international learners and fosters an environment of cultural awareness within the institution.


Job Summary

This role is being proposed in the context of one of two GEO team members taking maternity leave from December 2025. The key functions include producing immigration support letters for up to 2,000 new and returning/non‑EU learners, managing all accounts and finance‑related issues (commission payments, invoice processing, refund requests, host family payments, etc.), and other ad‑hoc administrative functions.


Job Responsibilities

* Produce letters of support for new incoming learners after ensuring they are fully registered and paid.
* Assist with bespoke letters for learners whose circumstances may impact registration with Irish Immigration Services (ISD).
* Produce letters for returning/progressing learners, ensuring registration and fee payments; liaise with the Fee Office if needed.
* Check attendance on the College’s attendance platform and liaise with faculties where verification is required.
* Process commission invoices, verifying that registered learners match invoiced amounts; liaise with Marketing Officers for anomalies.
* Manage purchase orders and process invoices for GEO activities, following up with the GEO Director as needed.
* Process tuition fee refunds promptly, ensuring required paperwork is included for visa refusals; obtain GEO Director pre‑approval for other refunds.
* Support administrative tasks related to student admissions, registration, and other ad‑hoc duties as required.
* Provide front‑desk support during busy periods in the Student Services function.
* Assist with pre‑semester induction activities and College Induction Days where needed.
* Assist the Global Office Director and Manager with ad‑hoc project work, report preparation, and database queries.


Minimum Education / Experience Requirements

* Excellent communication and administrative skills.
* Proven customer‑facing skills.
* Ability to work in a team environment.
* Capability to work in a dynamic and fast‑paced environment.
* Proficiency in Microsoft Office.
* Third‑level qualification would be an advantage.
* Experience working in a multicultural environment is highly beneficial.
* Minimum level 8 honours degree; level 9 Master’s degree an advantage.
