The Senior Service Administrator plays a pivotal role in delivering an efficient and effective front of house service to young people and their families. Working closely alongside the local management team, this position ensures seamless interactions between the public, administrative staff, and senior management.
Key Responsibilities:
1. Customer Support
* Providing a first point of contact for young people entering the service and general reception duties.
* Answering phone calls, responding to queries, and offering information to young people and their families while maintaining confidentiality.
2. Administrative Operations
* Promoting the organization's vision, values, and mission by embodying its core principles.
* Managing post, keeping accurate records, and ensuring administrative processes are in place.
3. Leadership and Team Management
* Supporting the Service Manager in leading the team, overseeing workloads, and guiding professional development.
* Coordinating purchasing and delivery of office supplies, stationery, and equipment.
4. Service Improvement
* Maintaining a customer-focused environment, monitoring efficiency, and reporting challenges to local management.
* Regularly reviewing feedback from young people and parents/carers to inform service planning and improvement initiatives.
5. Finance and Facilities
* Serving as the primary point of contact for external suppliers and contractors.
* Liaising with relevant departments to ensure facilities and IT requirements are met across multiple buildings.
Requirements:
* A minimum of three years' experience in office administration, preferably in a front of house position.
* One year or more of line management experience is desirable.
* Excellent communication skills, ability to empathize, and proficiency in MS Office, Office 365, Excel, Microsoft Teams, Zoom, and SharePoint.
* Demonstrated ability to plan, organize, and prioritize workload effectively.
Additional Requirements:
* Experience working in human services, health services, or charity sectors is highly regarded.
* A relevant degree or other administrative qualification (FETAC level 5 or above) is beneficial.
