Despatch Coordinator
Overview
The Despatch Coordinator will be responsible for the day-to-day management of the Despatch Office and customer collections counter. This is a customer-facing role that plays a key part in ensuring a smooth, efficient, and professional collections process.
Reporting to the Warehouse Manager, the successful candidate will work closely with internal sales, warehouse, and logistics teams to coordinate customer order collections, manage site visitors and couriers, and complete associated administrative and transport coordination duties.
This role suits someone who thrives in a fast-paced logistics environment and is passionate about delivering excellent customer service.
Key Responsibilities
7. Take full responsibility for the Despatch Office and customer collections area
8. Deliver a high standard of customer service, ensuring all customers feel welcome, valued, and supported
9. Liaise closely with warehouse teams to ensure customers and visitors are attended to promptly
10. Provide on-site, customer-facing support to the internal sales team
11. Ensure the Despatch Office is manned, organised, and presentable at all times
12. Handle incoming customer phone calls and manage or redirect collection-related queries appropriately
13. Complete all administrative duties related to the collections process, including POD scanning and returns documentation
14. Represent the business in a professional and friendly manner at all times
15. Ensure all couriers and visitors are signed in and out and directed safely around the site
16. Proactively work with warehouse and sales teams to reduce customer and visitor waiting times
17. Respond to customer queries efficiently and effectively
Key Requirements
18. Previous experience in an office-based administrative role
19. Strong customer service skills with a professional and friendly approach
20. Ability to plan and coordinate driver routes
21. Excellent telephone manner
22. Strong multitasking skills and ability to prioritise workload
23. Experience working in a busy, fast-paced environment
24. Experience using ERP systems (Intact experience is desirable)
25. Ability to work to deadlines
26. Flexible, team-oriented approach with a strong work ethic
27. Self-motivated, resilient, and conscientious
