Overview
The Law Society of Ireland is seeking an organised, creative, and motivated Calcutta Run & Events Coordinator to support the delivery of the Calcutta Run—our flagship ESG fundraising initiative—while also assisting with a variety of other Society events throughout the year.
Reporting into FP&A, this role is a great opportunity for someone who enjoys event coordination, digital marketing, community engagement, and managing a mix of administrative and financial responsibilities. Key Responsibilities
Calcutta Run – Primary
* Coordinate end-to-end delivery of all Calcutta Run activities, including logistics, timelines, site layouts, and run sheets.
* Manage participant registrations, respond to queries, and monitor fundraising activity.
* Liaise with charity partners, sponsors, law firms, team captains, and the Calcutta Run Committee.
* Assist with digital marketing content, social media posts, and promotional materials.
* Prepare regular updates on registrations, donations, KPIs.
* Keep Internal & external stakeholders informed on event progress.
Company Events
* Assist with the planning and delivery of additional Law Society events throughout the year.
* Support logistics, supplier management, attendee communication, and on-site coordination.
* Assist with promotional content, briefing materials, post-event reports, and maintain event documentation.
Finance & Administration
* Manage event budgeting, expenditure tracking, and financial administration.
* Assist with cash receipting, donation reconciliation, and bank reconciliations.
* Liaise with Finance on invoices, purchase orders, and approvals.
* Assist in preparing financial reports for internal stakeholders and the Calcutta Run Committee.
* Support fundraising initiatives.
* Maintain accurate financial records and perform additional finance-related tasks as required.
Internal Coordination & Stakeholder Engagement
* Work closely with Facilities, Catering, IT/AV, Security, Finance, and Marketing/Communications.
* Support health & safety and compliance documentation.
* Assist with sponsor engagement, branding requirements, and stakeholder briefings.
* Coordinate internal & external stakeholder's meetings and assist with event related queries.
Event Delivery
* Provide/Lead on-site support for event set-up, & delivery.
* Oversee supplier activity, ensure quality standards, and support issue resolution.
* Act as on-site event lead — directing suppliers, managing setup and tear-down,
* Ensure high standard of presentation of event spaces before, during and after events.
* KPIs & Measurement- Set event success metric, attendance, satisfaction
Skills & Experience Required
* 3> years' experience in event coordination or project management in a similar role.
* Strong digital marketing and design skills (Canva, Hootsuite, MailChimp; Adobe desirable).
* Comfortable with budgeting, financial reporting, and cash management.
* Proficient in Excel and general administrative tools.
* Excellent organisational, communication, and time-management skills.
* Strong writing ability and attention to detail.
* Able to manage multiple tasks and work effectively with diverse stakeholders.
* Proactive, flexible, able to work independently, with a positive and community-focused approach.
