Job Description forJob Title: Administrator (Part time)Name of Employer: Westside Age Inclusion Ltd.Unit 13, Westside Enterprise CentreBothar le CheileGalwayOverall Purpose of Job: To co-ordinate the day to day financial and administration duties in Westside AgeInclusion and act as an overall support to the work of the Organisation.Rate of Pay is currently €13.50 per hourKey Areas of WorkSecretarial/ReceptionCo-ordinate the reception desk, in liaison with the Manager and other staff.Greet and respond to people calling to, telephoning or e-mailing the officeAddress queries, refer people to services if required and maintain a record of same.Maintain and respond to office correspondence in liaison with the Manager.Maintain a diary of events and timetables.Office/PremisesEnsure that the office is supplied with necessary equipment and supplies.Implement the offices Health and Safety Procedures.Keep files, records, registers, minutes and reports up to date.Information/CommunicationStock the office and reception area with relevant information, update the information and provide the public with easy access to relevant information.Facilitate the use of the office as a resource to the community.Assist the Manager in planning and organising meetings and events.Provide administrative support to the Manager as required.Represent the office as required.FinanceMaintain efficient and accurate financial records and accounts for the Centre.Assist the Manager with monthly, quarterly and annual financial reports.Liaise with and offer assistance to the Centre's accountants and auditors.Put in place and maintain a system to record petty cash and laundry fees.Pay approved expenses and maintain a record of expenses and payments.Prepare payments for approval by the Manager.GeneralAn ability to work alone and on own initiative.§ To ensure administrative deadlines are met.§ Participate fully as a team member.§ Perform any other duties that may be deemed necessary by the Board of Directors from time to time.§ An ability to deal effectively with the public and a diverse range of people and groups.Hours of WorkThe opening hours are 8.30am to 4.30pm Monday to Thursday and 8.30am to 4pm on Friday.The Administrator will be expected to be flexible about working hours. In regards to any extra hours worked, a system operates whereby an employee is granted time-in-lieu as decided by the ManagerThe contract will be subject to continued funding from the relevant funding sources.AccountabilityThe Administrator will report to the Manager.
