John Sisk and Son are seeking several experienced Document Controllers to join our existing Team, based in Galway.
The Document Controller will manage the Project Document Management system and digital field tools, implementing information management strategies and providing training and support to project teams and end users.
Responsibilities:
1. Manage and host VFP and FV training sessions for new users within the project team, either with groups or on an individual basis.
2. Act as the main point of contact for support and coaching of project users of VFP and FV, including third parties such as client teams, designers, and subcontractors.
3. Develop project file naming protocols with the information systems manager and project team, in line with DPD protocols.
4. Develop workflows alongside ISM, and manage throughout the project lifecycle, with guidance from the project team, in line with DPD procedures.
5. Create forms, tasks, etc., on DFT (FV) according to DPD procedures and site requirements.
6. Configure and implement change control processes within the CDE.
7. Validate, check, and curate all incoming and outgoing project documentation to the CDE, including receipt, classification, verification, registry, distribution, and retrieval.
8. Configure and prepare status reports on workflows, sample submissions, TQs, RFIs, and other reportable data.
9. Prepare and configure distribution matrices in accordance with project requirements.
10. Establish and maintain central site files, uncontrolled drawings, and registers.
11. Collate operation and maintenance, health and safety, quality, environmental, and BCAR files.
12. Attend meetings to engage with the team and stakeholders.
13. Demonstrate experience working on projects with large volumes of data and information from various sources.
14. Possess advanced experience with a CDE and DFT.
15. Communicate effectively with and educate all stakeholders on DPD protocols, ensuring strict adherence.
16. Experience working with multidisciplinary design teams and client teams.
17. Experience dealing with subcontractors and the wider supply chain.
18. Understand naming conventions according to ISO 19650.
19. Be an advanced user of the Microsoft Office suite.
20. Have an understanding of BS 1192, PAS 1192, or ISO 19650.
21. Be an advanced user of VFP and FV or similar platforms.
