Utilities Finance Coordinator
Job Summary:
We are seeking a detail-oriented and analytical Utilities Finance Coordinator to join our team. In this role, you will be responsible for managing and coordinating the financial aspects of our utilities operations, including electricity, gas, water, and waste management. You will work closely with various departments to ensure efficient budget management, cost control, and financial reporting for all utilities-related expenses and projects across our portfolio of properties.
Key Responsibilities:
Utilities Budget Management:
* Develop, maintain, and monitor annual utilities budgets for all properties
* Prepare monthly, quarterly, and annual financial forecasts for utilities expenses
* Analyze budget variances and provide explanations for significant deviations
Cost Analysis and Optimization:
* Conduct regular analysis of utilities consumption and costs across all properties
* Identify trends, anomalies, and opportunities for cost savings
* Collaborate with facilities and sustainability teams to implement energy-saving initiatives
* Evaluate and recommend cost-effective utilities contracts and tariffs
Financial Reporting:
* Prepare comprehensive utilities financial reports for management and stakeholders
* Create and maintain utilities cost allocation models for different departments or tenants
* Develop and track key performance indicators (KPIs) related to utilities consumption and costs
Invoice Processing and Verification:
* Review and validate utilities invoices for accuracy and compliance with contract terms
* Coordinate with accounts payable to ensure timely payment of utilities bills
* Resolve billing discrepancies with utility providers
Data Management and Analysis:
* Maintain accurate and up-to-date utilities consumption and cost databases
* Analyze historical data to identify patterns, trends, and anomalies in utilities usage
* Prepare data visualizations and dashboards to communicate utilities performance
Regulatory Compliance:
* Stay informed about energy regulations and compliance requirements
* Ensure adherence to reporting obligations for energy consumption and emissions
* Assist in the preparation of regulatory filings related to utilities
Project Support:
* Provide financial analysis and support for utilities-related projects and initiatives
* Assist in the evaluation of energy-efficient technologies and their financial impacts
* Contribute to the development of business cases for utilities improvement projects
Stakeholder Communication:
* Liaise with internal departments, including Facilities, Operations, and Sustainability
* Communicate with external utilities providers and consultants as needed
* Present utilities financial performance to management and other stakeholders
Qualifications:
* Bachelor's degree in Finance, Accounting, Business Administration, or related field
* 3-5 years of experience in financial analysis, preferably in utilities management or a related industry
* Strong proficiency in Microsoft Excel and financial management software
* Knowledge of utilities management principles and energy markets
* Familiarity with energy management systems and utility billing processes
* Excellent analytical and problem-solving skills
* Strong attention to detail and ability to manage multiple priorities
* Effective communication and interpersonal skills
* Experience with data visualization tools (e.g., Power BI, Tableau) is a plus
* Knowledge of sustainability reporting standards (e.g., GRI, SASB) is beneficial
