As our business continues to grow, we are seeking an Operations Project Coordinator to join our Dublin-based team.
Role Overview
This is a fast-paced, client-facing role where organisation, communication, and professionalism are essential. You will manage the full customer journey—from initial enquiry through to project completion—acting as the central link between clients, architects, designers, builders, and our technical teams.
The role combines customer service, sales support, project coordination, and scheduling, offering a genuine opportunity to grow into a senior or leadership position within a premium interiors business.
Key ResponsibilitiesClient & Lead Management
* Act as the first point of contact for homeowners, interior designers, architects, and developers
* Handle inbound enquiries via phone, email, and WhatsApp
* Qualify leads by gathering drawings, measurements, photos, budgets, and timelines
* Maintain accurate and detailed records within Simpro CRM
* Provide clear, proactive updates throughout the client journey
Sales & Tenders
* Prepare, issue, and follow up on quotations and terms & conditions
* Support tender submissions and manage deadlines
* Progress leads through the sales pipeline (enquiry → quote → confirmed project)
* Coordinate showroom visits and client presentations
Scheduling & Operations Coordination
* Maintain job boards and scheduling within Simpro
* Coordinate technicians, materials, and equipment in collaboration with the stock manager
* Proactively communicate schedule changes (weather, staffing, delays)
* Confirm upcoming jobs with both clients and the operations team
Customer Experience & Aftercare
* Deliver a seamless, premium customer experience at every touchpoint
* Resolve issues quickly with a solutions-first mindset
* Conduct post-project feedback and aftercare calls
* Maintain long-term client relationships, including 6- and 12-month follow-ups
Administration & Reporting
* Keep CRM records, project notes, and invoicing milestones up to date
* Support finance with deposit payments, follow-ups, and invoice tracking
* Assist with RAMS and BOQs
* Ensure GDPR compliance and adherence to company standards
Ideal Candidate ProfileEssential Skills
* Excellent verbal and written communication skills
* Highly organised with the ability to multitask under pressure
* Experience in customer service, sales coordination, or project/office administration
* Strong IT skills, including CRMs, scheduling platforms, and Google Workspace / MS Office
* Exceptional attention to detail
Desirable Experience
* Background in construction, stone, interiors, architecture, or design-led projects
* Familiarity with Simpro, HubSpot, or similar CRM systems
* Experience managing quotes, tenders, or end-to-end project lifecycles
* Understanding of both residential and commercial projects
