The Castle Hill YMCA is seeking a Membership Coordinator whose primary responsibility is to ensure quality in all areas within the membership department, including creating a positive member experience, staffing, and all administrative processes, such as point-of-sale transactions, systems, and audit preparation. The Membership Coordinator works with the Membership Sales & Engagement Director to provide leadership to the Membership department to achieve all goals.
This is a seasonal assignment, scheduled to end in September.
Key Responsibilities:
Daily responsibilities:
Oversee member outdoor spaces to ensure safety for all members, create a welcoming and warm membership environment, and handle any member issues or conflicts by leading with the YMCA's four core values.
Complete incident reports as needed and follow up with branch leadership.
Bi-weekly responsibilities:
Run and review the expected credit card draft report.
Run and review bank and credit card exception reports.
Run adult member renewal notice reports.Send out standard renewal notices for monthly memberships and annual invoices six (6) weeks prior to the renewal date.
Handle in-person inquiries, calls, and emails from members.
Monthly responsibilities:
Download third-party utilization reports and post to the appropriate web portal. Reconcile all payments.
Prepare the facility access declination report – contact members who have been denied access due to pending collection of past-due balances.
Review the aging report (either sent by the Association Office or downloaded from AS400) and cancel memberships that are over 60 days past due.
Assist the Membership Sales & Engagement Director in preparing for membership staff meetings (agenda, minutes, etc.).
Prepare staff schedules for the approval of the Membership Sales & Engagement Director.
Continuing responsibilities:
Assist the Membership Sales & Engagement Director in hiring, training, and developing staff.
Attend and participate in various branch and/or association events and meetings.
Update table files.
Handle purchasing and requisitions.Monitor and order supplies, forms, membership cards, staff uniforms, etc.
Schedule rentals and process payments.
Be highly proficient in and role model all aspects of the Member Experience Representative position.
General responsibilities:
Attend and participate in required training sessions (De-Escalating Difficult Situations, AS400, etc.).
Take the initiative for personal and professional development by taking advantage of the YMCA's formal and informal opportunities.
Conduct yourself according to the Y values of caring, honesty, respect, and responsibility.
Desired Skills & Experience:
Bachelor’s degree or equivalent work experience required. Bachelor’s degree in business administration preferred.
Minimum of three (3) years of experience working in a fast-paced administrative setting.
Minimum of three (3) years of experience in a hospitality setting preferred.
Computer literate. Knowledge of Microsoft Office Word and Excel.
Excellent interpersonal and organizational skills.
Strong written and oral communication skills.
Ability to work in a fast-paced environment.
