Role Overview
As a Tender Co-Ordinator, you will work in collaboration with Cpl's Tender Lead, and senior sales and internal business partners across all pillars of the organisation to develop compelling proposals that meet our clients' needs and differentiate us from competitors. You will have responsibility for ensuring we submit high quality customer-focused proposals. You will optimise our proposal processes & support services and play a key role in taking this function to the next level.
This role requires the highest levels of attention to detail and an ability to work under pressure and to demanding deadlines. This is an exciting and hands-on opportunity in a faced paced environment. You will have access to all areas of the Cpl Group and establish relationships with all key stakeholders within the business.
Key Responsibilities
• Identify and coordinate new business opportunities through all relevant online tender portals
• Write compliant, customer focused bids as part of a team and independently, with guidance of the Tender Lead.
• Help to identify win themes and storyboarding to shape the content of responses.
• Analyse proposal request documents to identify key content requirements.
• Communicate and collaborate with relevant internal staff throughout the tender and proposal process.
• Work with relevant stakeholders to prepare, craft, and edit high-quality professional proposal submissions that are on brand while ensuring alignment with client requirements and showcasing our expertise and value proposition.
• Drive continuous improvement initiatives to enhance the efficiency and effectiveness of the bid process.
• Stay up to date with industry trends, best practices, and emerging technologies to bring innovative ideas to proposals and incorporate them into our strategies.
• Create and develop new frequently requested content/copy, case studies, etc.
• Categorise and update our central database of bids/ tenders information and ensure all bid activity is recorded on CRM (Salesforce).
• Support in preparing communications on proposal success stories and lessons learned.
• Produce proposal-related internal communications. Share trends/ insights and activity updates.
• Perform other ad hoc duties as requested.
Qualifications, Experience and Person Specification
• Third level qualification in a business disciple or business administration course would be preferable.
• Previous knowledge of Bids, Tenders and Proposals is essential but not required.
• 2+ years' experience in a PA or office administration role, ideally working in a similar fast-paced environment.
• An understanding of commercial tendering and associated processes involved in producing tender submissions, would be a distinct advantage.
• Very comfortable using the Microsoft Office Suite (particularly Word and PowerPoint) to include manipulating text, pictures, and other material to create professional documents/ templates.
• High degree of Commercial Awareness. Willing to invest time understanding our business and our services.
• Very strong administration/ organisational skills. An exceptional level of attention to detail.
• Excellent writing and editorial skills.
• Strong worth ethic. Flexibility in working hours when required for bid submissions. Excellent time management skills. Ability to prioritise workload in order to meet deadlines.
• Excellent communication skills. Ability to engage effectively with external contacts and collaborate with colleagues.
• Proactive, ability to work in a changing environment.
