Role Overview
The Part-Time Bookkeeper will support the financial and administrative operations of a busy quarry. This role is ideal for someone with strong bookkeeping skills who can work independently, manage weekly financial cycles, and assist the Office Manager with accurate data, reconciliations, and documentation. The work involves high transaction volumes, detailed reconciliation of weighbridge data, and maintaining strict confidentiality in all financial and operational matters.
Key Responsibilities1. Accounts & Financial Support
* Maintain accurate weekly financial records using Xero (or similar accounting software).
* Process supplier invoices, customer invoices, credit notes, and statements.
* Assist the Office Manager with bank reconciliations, creditor payments, and weekly financial summaries.
* Support cashflow tracking and prepare simple monthly management reports.
* Handle all financial data in strict confidence and in line with GDPR requirements.
2. Weighbridge & Docket Reconciliation
* Enter and reconcile all weighbridge dockets, deliveries, and product movements.
* Identify discrepancies between dockets, driver records, and customer orders; promptly report issues to the Office Manager.
* Maintain accurate tonnage, product, and pricing records for invoicing, stock management, and regulatory compliance.
3. Invoicing & Debtor Management
* Generate and issue customer invoices accurately and on schedule.
* Prepare debtor statements and assist the Office Manager with credit control and overdue accounts.
* Handle customer invoicing queries professionally and confidentially.
4. Payroll Preparation Support
* Prepare weekly timesheet data for quarry operatives and drivers.
* Support the Office Manager in verifying overtime, allowances, and hours worked.
* Maintain confidential employee payroll and personal records at all times.
5. Supplier & Contractor Administration
* Track haulage contractor invoices and verify tonnage/kilometre charges.
* Record expenses for consumables, fuel, plant maintenance, and subcontractors.
* Maintain organised, secure digital and physical filing systems.
6. Compliance & Record Management
* File financial and operational documentation relevant to environmental, planning, and safety compliance.
* Maintain accurate, confidential record-keeping systems in line with company and regulatory standards.
7. General Office Support
* Assist the Office Manager with day-to-day administrative duties.
* Handle basic customer phone queries and redirect operational matters appropriately.
* Uphold professional standards of communication and confidentiality at all times.
Confidentiality & Data Protection
Confidentiality is a fundamental requirement of this role.
The Bookkeeper will routinely handle sensitive information, including:
* financial accounts,
* customer pricing structures and outstanding balances,
* haulage and contractor rates,
* employee payroll and personal data,
* operational and regulatory documentation.
The successful candidate must:
* treat all such information with absolute discretion,
* never share internal information externally without authorisation,
* follow company data protection policies and GDPR obligations,
* secure all documents (digital and physical) against unauthorised access,
* immediately report any data or confidentiality issues to the Office Manager.

Skills & Experience Required
* 2–3 years bookkeeping or accounts administration experience.
* Proficiency in Xero, Sage, or similar accounting tools.
* Strong reconciliation and organisational skills.
* Competent in Excel/Google Sheets.
* Ability to work independently in a small, busy operational environment.
* High attention to detail and accuracy.
* Excellent communication and interpersonal skills.
Desirable (Not Essential)
* Experience in quarrying, construction, transport, or logistics.
* Familiarity with weighbridge systems or tonnage-based billing.
* Knowledge of payroll processes and weekly payment cycles.
