This position requires exceptional attention to detail, strong interpersonal skills, and a proactive, solutions-focused approach. Working closely with the HR team, the postholder will take ownership of recruitment and training, supporting the continuous improvement of HR systems and processes.Key ResponsibilitiesHR Administration and ComplianceProvide general administrative support across all areas of HR, including recruitment, training, and employee support.Maintain accurate and up-to-date HR records ensuring compliance with data protection and audit standards.Coordinate statutory leave requests (maternity, parental, carer's, etc.), and ensure accurate documentation and timely follow-up.Assist Garda Vetting Liaison Person with vetting paperwork and re-vetting compliance in line with legislation and internal policy.Manage compliance records for driving for work, probations, contract renewal and mandatory training requirements.Prepare HR correspondence including contracts, letters, and employment confirmations.Manage benefit programmes, including Bike to Work, pension enrolment, and staff recognition schemes.Conduct exit interviews and compile feedback for continuous improvement.Provide responsive HR advice and support to employees and managers.Recruitment and on-boardingAssist in all aspects of the recruitment process – advertise roles, arrange interviews, reference checking, garda vetting admin and compliance, communication with candidates.Coordinate the on-boarding process; drafting contracts, collating new starter information, liaising with payroll, setting up personnel files, conducting induction training.Draft employment contracts and onboarding documentation, liaising with payroll and ensuring personnel files are complete.Support induction and orientation for new employees to ensure a positive onboarding experienceCoordinate probationary review meetings and ensure all relevant documentation is completed.HR Systems and reportingInput, maintain, and verify HR data ensuring accuracy across systems.Maintain and manage the HR system (Softworks), ensuring employee data is accurate and up to date.Manage the recruitment system (Team Tailor), ensuring all vacancies are accurately recorded, maintained, and that timely reports are generated to support recruitment monitoring and planning.Generate regular HR reports (monthly, quarterly, annual) on key areas such as contract renewals, attendance, and leave management to support planning and compliance.Provide user support and training for employees and managers on HR system functionality.Process weekly payroll and assist with monthly payroll.Training and DevelopmentCoordinate and manage all aspects of training and development and liaise with relevant line managers and follow up with employees to ensure attendance.Coordinate the annual training schedule and maintain up-to-date training records on HR systems for monthly reporting.GeneralUphold and promote Galway Simon Community's values and ethos.Coordinate wellbeing and staff recognition initiatives and events.Respond to employee queries with professionalism, empathy, and confidentialityContribute to continuous improvement initiatives within the HR function.Provide reception cover when requiredParticipate in appraisal process including attending training as required.Adhere to HR and Galway Simon Community policies and procedures.This Job Description is intended to indicate the broad range of responsibilities and requirements of the position.
