We are seeking an experienced and highly organised Secretary to join our professional services team in Killarney. The ideal candidate will have a proven track record of supporting senior professionals in a fast-paced office environment. You will be responsible for a broad range of administrative and clerical duties that ensure the smooth running of daily operations. This is a full time, permanent position.
Key Responsibilities:
1. Provide comprehensive administrative support to senior staff in the practice.
2. Manage incoming correspondence including emails, post, and phone calls.
3. Schedule meetings, appointments, and maintain calendars.
4. Prepare, format, and proofread letters, reports, and other documentation.
5. Maintain and organise confidential files and records in accordance with company policies.
6. Liaise with clients, suppliers, and external stakeholders professionally.
7. Assist with invoice processing, expense tracking, and basic bookkeeping tasks.
8. Support the coordination of internal meetings, including preparing agendas and taking minutes.
9. Monitor office supplies and manage inventory levels.
Required Qualifications and Skills:
10. Minimum of 2 years' experience, ideally in a services environments (legal, accounting, or consulting offices preferred).
11. Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
12. Proficient touch-typing skills with a high level of accuracy and speed is essential.
13. Experience using document management and CRM systems.
