Based in Dublin HQ, this is a key role responsible for managing general front-desk duties, supporting the team with administrative tasks and ensuring the smooth, professional running of all day-to-day office operations.
Key Responsibilities:
Front of House:
* Overseeing the day-to-day running of reception, including incoming calls, greeting visitors and dealing with internal (stationery and other) requests.
* Managing car parking, ordering couriers, handling post and providing ad hoc administrative support as required (e.g. ILS letters etc).
Facilities:
* Responsible for coordinating the ongoing maintenance and repairs of office equipment, systems and services including facility issues, managing cleaning services and all other facilities on a day-to-day basis.
* Act as the central coordinator for office-related matters including facility contracts, office expenses, annual cost analyses of suppliers, identifying cost efficiencies, workspace needs, fit-outs and access control.
* Coordinate sustainability practices in offices where feasible (e.g., recycling programs, energy-saving initiatives).
Health & Safety:
* Responsible for daily and weekly health and safety checks, associated documentation and H&S and pandemic supplies.
Travel Management:
* Organise global travel arrangements for staff and external contractors as required.
Event Organisation:
* Support delivery of CSR initiatives and activities as well as company events.
Supplier Management:
* Manage office expenses by raising POs and processing invoices.
* Track office operations spend and identify opportunities for efficiencies.
* Assist with supplier review processes to ensure quality and cost effectiveness.
* Any other ad hoc duties as required.
