The Receptionist/Administrator will serve as a central point of contact for visitors and staff, ensuring a professional and welcoming front desk experience while providing essential administrative support across multiple departments including Sales & Marketing, Finance, HR, Operations, and Executive Management.
RESPONSIBILITIES
Reception and Front of House
* Greet visitors, clients, and staff in a professional and welcoming manner
* Manage the digital visitor sign-in process and ensure adherence to site health and safety and food safety protocols.
* Manage incoming calls, emails and correspondence, directing enquiries
* appropriately.
* Maintain a tidy and organised reception area.
Office Administration and Supplies
* Manage office consumables and stationery supplies; monitor stock levels and reorder as required.
* Order and manage deliveries to office areas, canteen and other departments.
* Coordinate with vendors and service providers for office maintenance.
* Maintain records of supplier orders and receipt of goods and liaise with suppliers to ensure timely deliveries and accuracy of invoices.
Travel and Logistics
* Coordinate travel bookings, accommodation, and transportation for staff and visitors as required.
* Prepare itineraries and ensure timely communication of travel details.
Events, Meetings and Trade Shows
* Assist in organising company events, meetings, conferences and trade shows.
* Support preparation of materials, promotional items and logistics for trade exhibitions and internal functions and events.
* Prepare meeting rooms and ensure all necessary equipment is available.
Departmental Support
* Sales & Marketing: Assist with data entry, CRM updates, and marketing materials.
* Finance: Support invoice processing
* HR: Help with onboarding documentation and engagement activities
* Operations: Provide administrative assistance for operational tasks
* Managing Director and Owner: Manage calendars, schedule appointments and handle confidential correspondence.
REQUIREMENTS
* Proven experience in reception and administrative duties
* Verbal and written communication skills in the English language
* Ability to handle confidential information with discretion
* Proficiency in MS Office Suite (Word, Excel, Outlook).
* Excellent customer service skills.
* Self-starter with strong work ethic and the ability to exercise good judgment.
* Ability to effectively prioritise and manage multiple tasks to meet targeted deadlines.
* Strong interpersonal skills with the ability to interact with personnel at all levels in a team environment.
