About the Role
The Production People have an exciting role to fill for a leading creative production company who is seeking an experienced and highly organised
Executive Assistant
to support their company directors and the wider development team.
This position supports the smooth, day-to-day running of operations in a busy, professional production environment where attention to detail, initiative, and clear communication are essential.
You'll provide comprehensive executive and administrative support across the business. managing communications, coordination, scheduling, and light financial administration while ensuring everything operates efficiently from day to day.
Key Responsibilities
Executive Support
* Manage company and director inboxes: replying, actioning, filing, and forwarding where appropriate.
* Coordinate two busy diaries and the wider team's master calendar.
* Anticipate needs, prioritise conflicting deadlines, and ensure tasks progress efficiently.
* Organise internal and external meetings and conference calls, including client follow-up and provision of marketing materials or information.
Travel
* Organise all aspects of business travel for company directors and personnel such as flights, transfers, accreditations, and itineraries.
Administration
* Prepare and collate materials for meetings the likes of screening links, presentations, and decks.
* Provide administrative support for development and production funding applications (Screen Ireland, Northern Ireland Screen, Creative Europe).
* Maintain company and project filing systems, including CRO submissions and company secretarial records.
* Assist with new company formations and general document tracking.
* Manage the day-to-day running of the office such as supplies, equipment, recycling, and scheduling while ensuring everything operates smoothly.
* Support productions and other projects as required.
* Manage digital listings, including website updates and IMDb Pro.
Finance
* Prepare and process invoices and payments.
* Track and reconcile expenses, credit cards, and reimbursements, supporting the company accountant when required.
* Manage bank account administration and online banking processes.
Key Skills and Experience
* Minimum
3 years' senior PA or Executive Assistant experience
, ideally in a creative or production-based environment.
* Confident working with
budgets, financial records, and reports
.
* Exceptional
organisation, attention to detail, and communication skills
.
* Advanced proficiency in
MS Office
.
* Ability to
multitask and prioritise
in a fast-paced, evolving environment.
* Calm, flexible, and proactive, with excellent judgement.
* A genuine interest in
television, film, pop culture, and entertainment
industry experience a strong advantage.
The Details
* Full-time, office-based role (Dublin 3)
* Monday–Friday, regular office hours
* Two-year contract (start ASAP)
* 20 days annual leave
