This role is central to ensuring the smooth running of the business — managing calendars, client appointments, and administrative processes efficiently and professionally.Role OverviewThe successful candidate will manage the Managing Director's diary, book client meetings, handle scheduling logistics, and assist with general administration duties. You will act as the first point of contact for clients, ensuring meetings and communications are handled promptly and professionally. This position requires excellent organisational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment.Key Responsibilities· Manage and maintain the Managing Director's diary and daily schedule.· Book and confirm client appointments (in-person, phone, or virtual).· Coordinate with clients and advisors to ensure all necessary documentation is prepared for meetings.· Monitor incoming calls, emails, and messages; prioritise and respond as appropriate.· Maintain accurate client records and update CRM systems.· Support compliance by ensuring all client files and communications are logged correctly.· Liaise with financial institutions, insurers, and partners when arranging meetings or documentation.· Prepare client packs, meeting notes, and follow-up communications.· Assist in the organisation of marketing or client events where required.· Provide general administrative support to the broader office as needed.Key Requirements· Leaving Certificate required; further education in administration, business, or finance an advantage.· Minimum 2 years' experience in an administrative or office support role.· Experience in financial services, insurance, or professional services preferred.· Proven experience managing calendars and coordinating meetings.· Strong organisational and time management skills.· Excellent communication and client-facing manner.· Proficient in Microsoft Office Suite (Outlook, Word, Excel) and CRM systems.· High attention to detail and accuracy.· Ability to work independently and manage multiple priorities.· Discretion and professionalism when handling confidential information.What We Offer· Competitive salary depending on experience.· Hybrid working flexibility.· Supportive, professional working environment.· Opportunities for training and professional growth within the financial services sector.· Be part of a trusted Irish brokerage committed to client care and long-term relationships.Job Types: Full-time, Part-timePay: €23,625.00-€44,664.97 per yearExpected hours: 15 – 35 per weekBenefits:Company pensionOn-site parkingSick payWork from homeWork Location: Hybrid remote in Dublin 12, CO.
