Procurement & Facilities Specialist Supply Chain & Procurement | Ireland | Permanent | € 50000 - € 65000 Role Overview This position supports the Property and Facilities Manager over multiple sites. There is a mix of administrative, operational and budgetary responsibilities, working with contractors, suppliers, and internal stakeholders. Key Responsibilities include: - ?? Facilities Management Coordinate facilities projects and service tasks with third-party contractors Handle specifications, quotations, work validation, and invoice processing Maintain building works registers and incident response processes Update and manage FM manuals and provide weekly activity reports Support employee safety protocols and induction procedures Cover service attendant duties when needed Manage documentation: leases, licenses, asset registers, and project records Fleet Management Process requests for new/replacement vehicles and oversee maintenance Arrange tax discs, insurance, fuel cards, and toll tags Procurement Assist in developing scopes, business cases, and tender documents Liaise with procurement team for tender releases and evaluations Raise purchase requisitions and reconcile invoices Budget planning and financial management for FM works Document Control and General Support Duties Order supplies, coordinate IT needs, and manage pandemic-related materials Support event logistics including cleaning, security, and FM coordination Ensure compliance with Health and safety, data protection, and internal policies Stakeholder Relationships Internal: Collaborate across business units External: Liaise with suppliers, contractors, agencies, and local authorities Important Requirements Degree in Business, Project Management, Procurement or Facilities Management Strong organisational, communication, and teamwork skills Competent user of : MS Office tools, SharePoint Valid Irish driving license welcomed Highly desirable: Facilities Management for multiple sites - across a country or multiple countries - hard and soft services Strong Project Management experience in a FM setting: buying and fit out of buildings; office moves/lift replacements etc. Experience in Public Procurement - Experience with public procurement and the e-tenders platform Vendor Contract Management - measuring supplier performance KPIs and SLAs Managing the 3rd party Outsourced FM companies: providing electrical, mechanical, HVAC, office moves, cleaning, catering and waste management Budgetary Management - Opex and Capex management.
