We are seeking a motivated Photography Studio Office Manager to oversee the day-to-day operations of our studio.This role includes managing the studio schedule, and ensures that the day to day operations and studio performance is managed to a very high standard.The ideal candidate should be highly organised, have excellent people skills, passion for success, a keen eye for detail, be proficient in Microsoft Office and a willingness to learn new skills.Responsibilities· Overseeing daily operations of the office and studio, ensuring smooth workflow and client satisfaction· Daily management of online booking systems and calendars· Daily and weekly analysis of sales, reporting to senior managementCoordinate with clients to understand their requirements and ensure their satisfactionMonitor photography trends and suggest creative ideas to enhance studio offeringsEnsure compliance with health and safety regulationsHandle any escalated customer service issues or complaints· Working on customer enquiries, responding to phone and email communication· Facilitating studio consultations, sales and order appointments· Managing and supporting onsite and offsite projects such as studio-based photoshoots, Wedding Photography, Commercial/Corporate photoshoots· Processing client invoices, coordinating payments to suppliers for services and goods and internal payroll payments· Preparing the source documentation and supporting materials for monthly financial audited reporting· Organising, maintaining and ensuring secure backup of filing systems and client records· Organising meetings, events and travel arrangements, as required· Designing the layout of client wedding/family albums, reviewing and updating layouts following customer feedback and assembling final albums· Managing post-production of images from studio and off-site photoshoots· Compiling and creating online viewing galleries for private and commercial clients.· Managing & updating PhotosbyJen website and ByJennyMcCarthy online store· Working on best practices for office progression, maintaining systems and ensuring all business practices are of a high standard· Cost analysis for reporting monthly· Maintaining strong supplier relations· Maintaining strong customer focus to build business into the futureMaintain the studio's inventory, including ordering new supplies as needed·· o Tracking inventory levels and coordinating with suppliers to ensure smooth operationso Managing order fulfilment, and personalisation of products as requiredo Responding to customer enquiries, and processing returns or exchanges promptly to maintain high customer satisfactiono Setting and adjusting product pricing, creating and managing discount codes, and running promotions to boost sales and drive conversionso Updating product descriptions, images, and other content on the Shopify store to ensure accuracy and optimisation for search enginesManage client relations, respond to client enquiries, and handle any client complaintsStudio's finances, including billing clients, and tracking expensesEnsure the studio adheres to all relevant health and safety regulationsContinually evaluate and improve studio operations and proceduresQualificationsProven experience as a Photography Studio Manager or similar roleExcellent organisational and leadership skillsProficiency in Microsoft Office (Word, Excel etc.)Experience in Photoshop is a bonusExperience in Shopify or other E-commerce platformOutstanding communication abilityProblem-solving aptitudeAbility to manage a team and handle multiple tasksJob Type: Full-timePay: €30,000.00-€34,000.00 per yearWork Location: In person
