TTM Healthcare are currently recruiting a Receptionist on behalf of a Constellation Healthcare for their Sandyford Assessment Service in Sandyford, Co. Dublin.

Constellation Healthcare is looking for a friendly, organised Receptionist to take care of front-of-house, appointments, inventory, and admin support while maintaining a smooth, efficient and welcoming service.
The Sandyford Assessment Clinic facilitates assessments and interventions for children. Families attend the office for face-to-face meetings with professionals in Psychology, Speech and Language Therapy, Occupational Therapy, and Physiotherapy. All appointments are pre-scheduled.
This is a 12 month contract and may be extended to a permanent role after 6 months.
Hours: Fulltime: Mon – Thurs 0845 – 1730. Friday 0845 – 1630
Salary: €34,600
Start Date: 26th of January
Essential requirements:
* 3 – 5 Year Office Experience
* Microsoft Office Suite – Proficient in Word, Excel, Outlook
* Time Management – Prioritize tasks and meet deadlines.
* Multitasking – Handle multiple duties efficiently.
* Filing, Record Keeping and Archiving – digital and hard copies
* Appointment management
* Office Equipment – Familiar with printers, scanners, etc.
* Flexibility– Adjust to new tools, workflows, or management styles.
* Discretion & Confidentiality – Handle sensitive information responsibly
* Previous experience working in a Healthcare environment – highly desirable.
Duties:
1. Follow protocols for opening and securing the premises daily.
2. Compliance with TTM Policies
3. Provide front-of-house duties, welcoming and assisting families.
4. Ensure each clinic room is clean, tidy, and prepared for the next family.
5. Maintain assessment kits, ensuring they are complete and ready for use.
6. Scan, print, and manage documentation as required.
7. Provide administrative support to HQ.
8. Keep communal areas tidy and free of hazards.
9. Perform general cleaning duties to maintain a welcoming environment.
10. Support facilities management as required.
Appointment Management
1. Liaise with Project Managers regarding upcoming appointments and prepare the environment to meet family-specific needs.
2. Serve as the main point of contact for Project Managers, Clinicians, and Families.
3. Manage appointment-related issues such as DNAs (Did Not Attend) and cancellations.
4. Coordinate room bookings for all clinicians.
Inventory Control Duties
1. Maintain and account for clinical kits and test booklets.
2. Maintain a robust and accurate inventory control system is in place.
