The Irish Bioenergy Association (IrBEA) is the representative body for the bioenergy industry on the island of Ireland. IrBEA works on behalf of its members across the sectors of biomass, biogas/biomethane, biofuels, biochar, wood fuels and energy crops. IrBEA is recognised by Government and key stakeholders as the voice of the bioenergy industry. The organisation's activities are managed by the CEO, assisted by a small executive staff team. IrBEA is governed by a board of directors which includes an elected President and Vice President. Policy direction is provided by a Council of members with a number of specific sectoral policy groups. IrBEA manages and administers the Wood Fuel Quality Assurance Scheme (WFQA) and is currently involved in the delivery of several bioenergy research and development projects. Role Summary:
The Irish Bioenergy Association (IrBEA) is seeking to recruit an organised and committed Executive Assistant to assist the CEO and other executive team with the delivery of the organisation's work programme. The successful candidate will provide administrative support to the CEO including diary and meeting co-ordination, co-ordination of group calendars, minute taking and co-ordination of the activities of the IrBEA office. The role will also require the successful candidate to introduce and operate a new membership management platform / customer relationship management (CRM) system within the organisation. It is a key and varied role that requires focus, flexibility and attention to detail. Specific duties will be assigned depending on the organisation's workload and at the discretion of the CEO.

Essential Duties:
Duties will be varied and will include but not limited to:
· Executive Assistant to the CEO and other IrBEA executive staff team members in fulfilling their roles and delivery of the IrBEA work programme
· Screen and manage correspondence and ensure all correspondences are transcribed and proofread in an accurate and timely manner.
· Work in a confidential manner
· Introduce and manage a new membership management platform / customer relationship management (CRM) system within the organisation
· Attend meetings, prepare agendas in advance, keep minutes, track and report on actions agreed, undertake typing, word processing of correspondence, documents and reports.
· Co-ordinate of the IrBEA calendar and meeting co-ordination of the IrBEA policy groups
· Produce a variety of documents, communications and presentation materials
· Co-ordinate the activities of the IrBEA office
· Oversee and support the organisation of weekly online and periodic in person internal team meetings
· Liaising with members as necessary and both internal / external stakeholders, spanning all the bioenergy sectors
· Participate and contribute to other activities and projects of the association as required

Knowledge / Skills and Experience
Minimum Qualifications:
* Minimum 4 to 6 years personal and/or executive assistance experience
* Experience with a membership management platform / customer relationship management (CRM) system is desirable
* Experienced Microsoft Office 365 user including excellent Word, PowerPoint, Excel experience
* Full driving license and use of own car is desirable

Annual Leave: The Executive Assistant will be entitled to a minimum of 21 days annual leave plus public holidays.
Travel: The position will involve reimbursable travel to occasionally attend meetings, workshops and conferences in line with the demands of the role.
