Background
Oxfam Ireland is leading the implementation of a three-year EU-funded project called
Recentering the Civic Internet through Partner Engagement
(
ReCIPE
). The project coordinates a diverse range of civil society organizations from 10 countries around the globe working to foster a more rights-respecting digital ecosystem.
As part of the project, Oxfam Ireland is organizing a two-day
Digital Rights and Equality Symposium[1]
that will:
* bring together civil society partners, digital rights experts, and stakeholders from across the globe to share learnings, build partnerships, and advocate for a rights-respecting digital ecosystem and
* engage with public and private sectors representatives (from Ireland and EU) to exchange views, practices, and solutions for tackling the complexity of promoting a more equal digital future that respects and upholds everyones human rights.
The format will be hybrid, combining virtual and in-person elements, with the intention of facilitating reflection, debate and the exchange of knowledge and experiences among all participants, thereby extending the symposium's reach and interactivity.
Oxfam Ireland is partnering with UCD to host the Symposium at University Club venues the week
October 19-23, 2026
. Oxfam Ireland will also engage with representatives from the UCD Digital Policy Institute to explore potential connections with visiting international partners and collaboration on Symposium content and sessions.
Role Purpose
The Event Coordinator will be responsible for the planning, coordination, and execution of the
Digital Rights and Equality Symposium
. This includes logistical support for international and local attendees, coordination with venue and tech providers, and ensuring a smooth hybrid event experience.
The Event Coordinator will also support with ensuring logistics and coordination for activities of visiting international participants from 10 countries during the week of October 19-23 outside of Symposium days (as agreed with Programme Manager)
Key Responsibilities
Pre-Event Planning (March September 2026)
* Develop and maintain a detailed event work plan and timeline. Lead monthly meetings to check in on progress towards work plan and steps.
* Coordinate with the Oxfam Ireland Content & Operations Committees on agenda, speakers, and logistics.
* Liaise with the academic partner and venue to finalize space, technical setup, and catering.
* Manage travel and accommodation arrangements for 3040 international participants from ten diverse countries around the world.
* Coordination of pre-trip materials and orientation of international visitors on roster. (Airport pick up, Welcome packs, orientation etc)
* Oversee registration process and communication with attendees.
* Ensure accessibility and inclusion measures are in place (e.g. translation, mobility access).
* Coordinate with vendors for event materials, signage, and swag.
* Pre-Event walk through with Oxfam Ireland team (Spring/Summer of 2026)
Event Execution (October 2026)
* Lead dry run or rehearsal with Oxfam Ireland team/participants prior to public engagement day event.
* Lead focal point for Symposium days choreography and execution on site at UCD (OReilly Hall and adjoining rooms).
* Realtime troubleshooting and organisation of teams for delivery and support of Symposium days (1 and 2).
* Supervise on-site and virtual event delivery across both days.
* Coordinate staff, volunteers, and technical teams.
* Ensure smooth transitions between sessions and troubleshoot issues in real time.
* Support speakers and guests with logistics and information.
* Oversee catering, registration, and attendee support.
Post-Event (October November 2026)
* Conduct debrief with PMU and committees.
* Support production of event summary report and documentation.
* Ensure all invoices and payments are processed.
Deliverables
* Finalized event plan and timeline for preparation and lead up to Symposium.
* Logistics plan for travel, accommodation, and venue, meetings and activities for international participants
* In collaboration with ReCIPE PM, create and manage weeks itinerary and agenda for international participants including ensuring logistics for participation in Symposium and other activities.
* Symposium days implementation and coordination/choreography guidance note and run-through with Oxfam Ireland team.
* On-site and virtual event coordination. Including Symposium days coordination plans. (Roles, responsibilities, duties and coverage of team during days)
* Post-event report and financial reconciliation.
Skills And Experience
* Proven experience in event planning and coordination for international guests / hybrid events.
* Experience coordinating public engagement events with multiple stakeholders in Ireland context (Government, Private Sector and Civil Society).
* Experience with developing guest itineraries and leading logistics support.
* Strong organizational and communication skills.
* Ability to manage multiple stakeholders and deadlines.
* Experience with virtual event platforms and technical coordination.
* Commitment to Oxfams values and principles, including equity and inclusion.
