Front Office Coordinator sought for a dynamic manufacturing company in Sligo.
Key Responsibilities:
1. Ensure the reception area is welcoming and well-maintained, receiving visitors, mail, and calls, and directing them to their destinations.
2. Provide administrative support to the Senior Leadership Team, including scheduling meetings, managing correspondence, and organizing documentation.
3. Process expense reports with accuracy and timeliness, ensuring compliance with company policies.
4. Maintain the canteen's cleanliness, organization, and stock levels at all times.
5. Set up meeting rooms as required, including refreshments, and facilitate visitor travel arrangements.
6. Coordinate ad hoc requests, such as arranging catering and staff celebrations.
7. Manage keys using both physical access and software tracking systems.
8. Facilitate communication between visitors and site staff, providing information and assistance as needed.
9. Conduct monthly safety audits of the admin and canteen areas.
10. Liaise with international Regulatory Affairs colleagues to ensure regulatory documents are notarized, apostilled, and legalized as necessary.
11. Maintain accurate records of visitor logs, expense reports, and other administrative documentation.
12. Evaluate activities against company SOPs to ensure compliance.
Requirements:
* Possess qualifications in administration or related fields, if applicable.
* Demonstrate proven experience in front desk or administrative roles, preferably within pharma or GMP environments.
* Exhibit strong communication, interpersonal, and organizational skills, with proficiency in MS Office suite.
* Show familiarity with expense handling, visitor coordination, and basic catering management.
* Demonstrate attention to detail, proactivity, and ability to multitask effectively in a fast-paced environment.
* Possess a full clean driving license.
