Great Opportunity for a Home Care Coordinator!
Purpose of role:
We are seeking a highly organized and detail-oriented Office Coordinator to support the day-to-day operations of our office. The ideal candidate will ensure smooth office functions, manage administrative tasks, and support staff with operational needs.
Key responsibilities:
1. Allocate field-based care staff to customers, ensuring timely, safe care aligned with customer support plans.
2. Coordinate daily schedules for care assistants using our rostering system and address operational issues related to customer care calls.
3. Provide administrative support across the office, including preparing reports for the Coordinator, Supervisor, and Operations Manager.
4. Support management and staff by scheduling meetings, handling correspondence, and preparing reports.
5. Serve as the first point of contact for care staff and clients, managing calls, emails, and mail.
6. Assist in recruitment processes.
Duties and Accountabilities:
1. Answer incoming calls professionally and knowledgeably.
2. Coordinate care assistants' schedules daily, using the Bluebird Care rostering system.
3. Maintain accurate records, organize files, and update databases.
4. Liaise with the Coordinator and Supervisor to recruit suitable care staff and arrange cover for sickness, absenteeism, or holidays.
5. Process changes to customer care plans and ensure adequate coverage.
6. Utilize IT systems to allocate care staff for customer support.
7. Participate in out-of-hours emergency on-call rota after full training and assessment.
8. Maintain electronic and handwritten records, including staff files and supervision records.
9. Record, report, and act on accidents, incidents, complaints, and compliments.
10. Ensure confidentiality of customer and family information.
11. Provide clear instructions to care assistants and communicate effectively with customers and their representatives.
12. Inform customers of schedule changes and record communications.
13. Identify and escalate customer concerns to the clinical nurse manager.
14. Work flexibly within the team and adhere to policies and procedures; additional duties may be assigned.
