Executive Assistant (Part-Time – 3 Days/Week)Location:Hybrid (UK – Onsite availability required)Schedule:Part-Time (3 Days per Week)Contract Day Rate – Up to 250 Euros/day SummaryWe're hiring an experiencedExecutive Assistantto support aSenior Leader and their Leadership Team.Thispart-time, high-impact rolerequires outstanding organisational skills, initiative, and a proactive mindset.You'll providehigh-quality administrative and operational support, manage complex calendar and travel schedules, and ensure operational excellence across purchasing, budgeting, and compliance workflows. You'll also oversee the day-to-day workload of aJunior Group Administrator, ensuring high standards and effective prioritisation. Key ResponsibilitiesCore EA DutiesManage complex, dynamic calendars across global time zones — proactively resolve conflicts.Coordinate domestic and international travel, including itineraries, visas, and briefing packs.Orchestrate the team's ROB (agendas, pre-reads, action tracking, logistics for offsites/all-hands).Handle expenses and budget reconciliation ; monitor PO/vendor spend and financial trackers.Oversee compliant purchasing workflows : POs, single payment requests, DocuSign, vendor setup.Maintain key team tools: distribution lists, org charts, SharePoint sites, and asset trackers.Format internal communications, create slides, support morale events, and executive visits.Coordinate onboarding/offboarding with IT/Facilities, and maintain audit-ready compliance.Champion policy adherence across procurement, expenses, and information security.Junior GA OversightPrioritise and assign work; coach on tools and policies (MyOrder, POs, expenses, SharePoint).Perform quality control on deliverables; manage coverage and workload balance.Provide feedback and mentoring ; consolidate reporting (e.g. PO status, budget trackers).Proactively escalate risks and support team operations during peaks or absences. What We're Looking ForMinimum 5+ years of experience in senior-level EA roles (VP-level support preferred).Heavy calendar management experience — this is critical for success in the role.Strong experience planning and managing complex travel across regions.Ability to be onsite when needed and support executives in person.Expert in Outlook, Microsoft Office Suite (Word, Excel, PowerPoint), and SharePoint.Strong leadership, communication, confidentiality, and time-management skills.Experience in large tech organisations (Microsoft experience is a plus).Familiarity with internal Microsoft tools such as MyOrder, DocuSign, etc., preferred.
