Job Description:
We are seeking an Executive Assistant to partner with the Head of Americas & OEM and Head of Europe. This exciting opportunity offers the chance to work in a fast-paced environment, providing comprehensive support to two Commercial Regional Heads.
The successful candidate will act as the first point of contact for the Commercial Regional Heads, reviewing and tracking incoming enquiries. They will also manage calendars, coordinate schedules, meetings, and international travel.
The role involves liaising with company travel agents to book travel, hotel, and transport when necessary. Additionally, the Executive Assistant will provide high-level business support, preparing meeting agendas, briefing packs, presentations, and other documents, and ensuring follow-up actions are progressed.
The person in this role will also coordinate, attend, and take minutes for team meetings and any other relevant meetings. They will build and maintain relationships across the Commercial leadership team to ensure the coordination of priority workstreams and ongoing management of actions and status reports.
Furthermore, the successful candidate will provide project support, reviewing and summarizing reports, presentations, and documents suitable for presentation at Board level. They will maintain trackers and access to key information through the use of internal systems and data management processes.
The Executive Assistant will organize team and customer events, and support Europe and Americas teams with business travel and coordinating their customer events when required.
Required Skills and Qualifications:
* At least 5 years' experience or equivalent in a similar role
* Experience working in a financial setting or aircraft leasing sector is a distinct advantage
* Demonstrable experience in working with highly sensitive business correspondence and other information with confidentiality and discretion
* Relationship building across all levels of the business and with external contacts, vendors, and partners
* Self-motivated with initiative to track and follow through on all queries and issues to successful completion
* Ability to work in a fast-paced, dynamic environment, requiring high levels of flexibility and adaptability
* Experience of multitasking and prioritizing an ever-changing workload
* Ability to work autonomously and take ownership of area of responsibility
* Proficient in utilizing the complete Microsoft Office suite
* Effective meeting management and coordination
* Highly organized with excellent time management and attention to detail
* Strong oral and written communication skills
