Job Purpose
As GP Training Coordinator, you will play a pivotal role in supporting the GP Training Community. You will be the first point of contact for trainee queries, manage digital communications, coordinate events, and contribute to the development of blended learning and digital resources. You will also support data analysis and reporting using AI tools, ensuring the delivery of high-quality content and experiences for trainees and stakeholders.
Key Result Areas
Administration And Support
* Be the first point of contact for GP trainee queries (support hub and GP training) ensuring queries in relation to their educational and learning needs are addressed within a reasonable timeframe.
* Maintain databases and manage records in relation to GP trainees.
* Work with the Learning Technologies Manager to enhance and develop supports for the GP Training Community utilising systems including (GPEP) GP Eportfolio, Moodle and Panopto or other eLearning technologies.
* Develop user-friendly guides and short video resources to support trainees
* Use AI to generate reports, data analysis and to assist with support queries.
* Support the recruitment process for GP trainees
* Collaborate effectively with cross-functional teams to achieve common goals.
* Provide administrative support and contribute to ad hoc projects as required
Digital Communications
* Prepare, design, create and publish weekly and quarterly GP Training newsletters
* Design publications and programmes for GP Training events and conferences.
* Support the Learning Technologies Manager and Instructional Designer in developing blended learning modules on Moodle.
* Create and update GP Training material on the College website.
* Prepare engaging content for social media platforms
Event Management
* Plan, organise, and deliver a wide range of events, including corporate meetings, courses,
* conferences, workshops and graduation ceremonies.
* Manage event logistics, such as venue selection, catering, transportation, and accommodation
* Coordinate with vendors, suppliers, sponsors and other external partners to ensure smooth
* execution of events.
* Monitor event quality using agreed review frameworks, including post-event evaluations, to drive continuous improvement
Person Specification
Qualifications And Experience
* 2-3 years' work experience in a similar role.
* QQI Level 5 or 6 qualification in Business Administration or a related discipline.
Technical Competencies
* Advanced proficiency in MS Teams, Office Suite, Canva, and eLearning technologies (e.g., Moodle, Panopto).
Behavioral Competencies
* Strong organisational and time-management skills, with the ability to handle multiple tasks and
* prioritise effectively in a dynamic environment.
* Excellent written and verbal communication skills (must have fluent English) and the ability to
* collaborate effectively with team members.
* Strong attention to detail.
* Competent, conscientious, and motivated, with a methodical approach to work.
* Must be at ease working with people from a wide range of cultures.
* Must enjoy working in a high energy fast paced environment and have the ability to meet tight
* deadlines.
* Must be adaptable and flexible with the ability to learn new skills and ways of working quickly.
