JOB TITLE:Patient Transport Administrator

REPORTS TO:Patient Transport Coordinator

DEPARTMENT: Services

HOURS: Full time: 35hrs per week (9am 5pm, Monday Friday)

CONTRACT TYPE: 1-year fixed term contract

LOCATION:The Society operates a hybrid-working model with a combination of remote and in-person (Dublin 4 office) working.

OFFICE DAYS: Office attendance days are Wednesday & Thursday weekly

SALARY: €31,500 per annum

What Youll Do

A cancer diagnosis impacts all areas of a persons life. At the Irish Cancer Society, we aim to reduce this burden of cancer and improve the quality of life for everyone affected by cancer. To do this, the Irish Cancer Society provides a free transport service to referred patients, identified as being in need by our hospital partners. This service supports patients through the provision of a volunteer delivered,

As the PatientTransport Administrator, you will be part of asmall team of administrators. The team manages the daily bookings from patients, processes patient referrals, engages with our partner hospitals, processes financial support applications and encourages patient feedback on service delivery with a view to service improvement.

Main Duties And Responsibilities

Service Delivery


* Receive and collate referral information from our partner hospitals ensuring patient database is up to date.
* Process patient referrals from our partner hospitals, making contact with the patient and taking booking information.
* Processdaily patient bookings and input information on CRM (Dynamics) database
* Process financial support grant applications where appropriate
* Manage incoming and outgoing patient calls and emails responding to a large volume of incoming calls from an expanding patient base.
* Address logistic issues as they arise, ensuring proper procedures and quality standards are adhered to.
* Offer support to patients signposting them to other supports where appropriate.
* Provide cover within the Driver Support team if and when required.

Evaluation and continuous improvement

* Administer patient feedback surveys when required and collate the findings.
* Ensure continuous service improvement, through patient feedback and signposting to other services and supports.
* Proactively identify opportunities for improvement in our service delivery or operations.

Stakeholder engagement and relationship building

* Build and maintain relationships with existing internal and external stakeholders and develop new relationships as required.
* Work closely with other teams within the Society to provide a full support service to all referred patients.
* Build effective relationships across the Society and work in collaboration with Services Team and wider Irish Cancer Society colleagues to contribute to the successful delivery of the organisational strategy.
* Keep up to date with legislation, policies and procedures, and undertake appropriate training.

Other

* Other duties as requested by the Patient Transport Coordinator.
* Ensure any issues that arise are dealt with and/or are escalated as necessary.

General

* Maintain confidentiality at all times, and compliance with the Data Protection Act is an essential requirement.
* The Irish Cancer Society operates a no-smoking policy, and the post holder must not smoke in the office or when on Society business outside the office.
* All employees are required to be aware of their responsibilities towards health and safety and to adhere to fire regulations.
* Be willing to occasionally work outside of normal working hours.

A great communicator: you are able to communicate effectively across multiple channels (face-to-face, over the phone, written, digital) and adopt your style to meet the audience where they are.

Wonderfully organised: you are able to manage lots of different tasks at the same time, keep things going as planned and take pride in running a tight ship.

Technologically savvy: youre comfortable using digital and technology tools for the management and delivery of programmes and identifying new ways that technology can support your work. You know your way around the Microsoft platform.

Your Qualifications And Experience

* A degree or professional qualification in social work, community development, or related field. Additional relevant work experience will be considered in lieu of a formal education qualification.
* A minimum of 3 years relevant work experience in service delivery or community support. The Irish Cancer Society measures experience by the quality of the experience gained, rather than number of years worked.
* An understanding of patients needs and an empathy for patients who find themselves in difficult situations.
* Ability to work as part of a team and on your own initiative
