Clerical Officer Job Description

We are seeking a highly motivated and skilled individual to join Jark Healthcare as a Higher Clerical Officer. This is an excellent opportunity for those looking for a dynamic role with immediate start and competitive pay.


Key Responsibilities:

* Minute-taking: Accurately record and transcribe meeting minutes.
* Office Organization: Maintain an efficient filing system, brought forward system, and ensure files are prepared for meetings.
* Mail Management: Open, record, and distribute incoming mail; handle routine correspondence and draft letters for signature.
* Communication Facilitation: Liaise with relevant staff to facilitate internal communication and handle telephone calls/enquiries.
* Typing & Word Processing: Type letters, memos, and minutes; strong proficiency in Microsoft Office and other software required.
* Presentation Support: Assist with the creation of presentations for departmental needs.
* Policy & Report Support: Provide administrative assistance in producing departmental policies and reports.
* Staff Supervision (if required): Supervise clerical staff and provide guidance as necessary.
* Stationery Management: Monitor and maintain stock levels of stationery, using stock catalogues and requisitions.
* Database Management: Update and search client databases as needed.
* Statistical Data Collection: Contribute to the collection and collation of statistical information regularly.
* Petty Cash Management: Operate and manage a petty cash system in line with Trust policy.


Requirements:

* A minimum of 5 GCSEs (Grade A-C) to include English Language and Maths or equivalent qualifications or higher standard of education.
* 1 year administrative/clerical experience or NVQ Level II Business & Administration or equivalent and 1 year administrative/clerical experience.
* 3 years administrative/clerical experience.
* A Driving license and 6 months experience using Microsoft Office including Outlook, Power Point, Excel and Word is also essential.
