Overview
We currently have multiple Legal PA opportunities within our Dublin office, supporting various fee earners across different business areas. You will provide confidential, professional and proactive support to a designated group of stakeholders. Confidence, effective communication and an assertive, forward-thinking approach are essential.
Role and responsibilities
* Conduct regular one-to-one meetings with stakeholders to discuss actions, priorities, expectations and future planning.
* Attend team meetings, act as a liaison point for internal and external clients, and draft clear replies to incoming correspondence.
* Assist with client queries during stakeholder absences and maintain a flexible hybrid working approach.
* Support the wider PA team, covering for colleagues during absences as needed.
* Efficient mailbox, diary and travel management; proactively resolve conflicts and anticipate future needs.
* Organise meetings, prepare agendas and ensure equipment and refreshments for in-person and virtual meetings.
* End-to-end workflow management, delegating tasks across dedicated support teams (billing, finance, document production) to meet deadlines and service scope.
* Document management (including collaboration with the Document Production Team for larger documents) and matter management (opening processes, electronic filing, stakeholder collaboration).
* Provide financial administrative support and ensure compliance with policies and procedures.
* Pitch and presentation creation in collaboration with the document production team.
* Coordinate and organise events, manage marketing and business development activities as required.
* Champion process improvements and leverage technology to enhance productivity.
Skills and experience
* Experience in a similar professional services environment and ability to adapt to a busy work setting.
* Strong client service orientation with proactive issue resolution.
* Excellent communication skills with stakeholders and clients.
* Ability to delegate tasks while maintaining ownership of transactional activities.
* High-level PA support to senior stakeholders, including calendar management and handling confidential information.
* Relationship-building skills with internal and external stakeholders.
* Strong task management, risk awareness and the ability to balance priorities to meet deadlines.
* Flexibility to adapt to changing work environments.
* Proficiency in Microsoft applications (Outlook, Teams, Copilot) at an intermediate to advanced level.
* Team collaboration and willingness to support colleagues as needed.
