Overview -
The Procurement Lead supports the Procurement Manager in delivering all procurement and expediting functions across projects. This role focuses on the coordination and administration of RFQs, supplier engagement, order expediting, and documentation control. The Procurement Lead ensures that all procurement activities are executed efficiently, in compliance with company procedures, and in alignment with project schedules and commercial requirements.
Key Role and Responsibilities
Procurement Coordination and Administration
Coordinate the preparation, issuance, and follow-up of Requests for Quotation (RFQs) and Requests for Proposal (RFPs).
Collect, review, and compile supplier quotations for technical and commercial evaluation.
Assist in the preparation of Technical Bid Analyses (TBA) and Commercial Bid Analyses (CBA) for management review.
Support the development and maintenance of the Procurement & Delivery (P&D) plan for assigned projects.
Maintain accurate and up-to-date procurement records, including supplier documentation, approvals, and correspondence.
Manage documentation through digital collaboration platforms such as SharePoint, InEight, or Asite, ensuring traceability and compliance.
Assist in the preparation and issuance of purchase orders, subcontracts, and service agreements in line with company standards.
Expediting and Supplier Management
Monitor and expedite supplier and subcontractor deliveries to ensure materials and services are received on schedule and meet quality standards.
Liaise with suppliers, logistics, and project teams to resolve delivery delays, documentation issues, and technical clarifications.
Track procurement and delivery progress using the project procurement schedule and maintain regular reporting to the Procurement Manager.
Conduct regular follow-ups with vendors to ensure timely submission of documents, certifications, and shipping details.
Maintain supplier contact lists and databases to support sourcing and performance tracking.
Compliance, Quality, and Reporting
Ensure all procurement activities comply with company policies, ISO standards, and client requirements.
Support the implementation of procurement-related HSEQ (Health, Safety, Environment, and Quality) requirements.
Participate in audits and provide evidence of compliance with procurement procedures.
Prepare periodic procurement status reports, including RFQ progress, order placement, and expediting updates.
Support the Procurement Manager in driving continuous improvement of procurement processes and templates.
Communication and Coordination
Act as a central point of contact between suppliers, internal teams (engineering, construction, logistics, commercial), and the Procurement Manager.
Maintain clear and professional communication with all stakeholders to ensure transparency and alignment of procurement activities.
Assist with vendor meetings, supplier evaluations, and progress reviews.
Represent the procurement team in internal coordination meetings and contribute to project delivery planning.

Preferred Qualifications and Experience
* Bachelor's degree in Supply Chain Management, Business, Engineering, or related field.
* 3+ years of experience in procurement, preferably in engineering, construction, or industrial projects.
* Experience in expediting, RFQ preparation, and procurement documentation.
* Familiarity with ISO 9001 / ISO 45001 / ISO 14001 systems and compliance requirements.
